Position Summary
Reporting to the Director, HR, the HR Coordinator will play a key role in supporting the delivery of HR programs and services across the employee lifecycle. The HR Coordinator will support the application and administration of funding applications and reporting and assists with the administration of the Temporary Foreign Worker Program and other immigration-related activities. The HR Coordinator provides broad support across key human resources functions, contributing to the effective delivery of HR programs and services.
Key Accountabilities
Government Grants and Training Programs
- Research applicable grant and funding opportunities available at the provincial and federal level.
- Prepare and submit funding applications, government grants and wage subsidies (e.g. Canadian Job Grant, SWPP, or similar government programs).
- Track grant eligibility criteria, status, deadlines and reporting obligations.
- Collect data, prepare supporting documentation and assist with compliance reporting.
- Monitor program usage and track financial disbursements.
Foreign Worker Program Administration
- Support the administration of the temporary foreign worker programs, including LMIA, TFWP, IMP and provincial nominee processes.
- Coordinate document collection and submissions in partnership with legal counsel or immigration consultants.
- Track work permit expiry dates and coordinate renewals and or extensions as required.
- Support employees and hiring managers through the onboarding and settlement of foreign workers.
- Assist in meeting compliance requirements under federal and provincial immigration programs.
- Liase with legal counsel, government agencies and internal stakeholders on immigration and compliance matters.
- Maintain records related to immigration compliance, audits and inspections.
- Stay informed of program changes, processing timelines and relevant policy updates.
Talent Acquisition & Onboarding
- Coordinate job postings, interviews, reference checks, and provide back-up support for onboarding activities. Maintain recruitment data and support student and internship hiring programs.
Employee Engagement & Events
- Organize wellness initiatives, employee recognition programs, and company events. Support internal communications and assist with diversity and inclusion activities.
HR Administration
- Maintain employee records, prepare standard HR documents, track attendance and leaves, and manage HR databases and organizational charts. Respond to general HR inquiries and escalate issues when needed.
General HR Support
- Provide administrative assistance to the HR team and contribute to the implementation of HR projects and initiatives.
Qualifications
- Post secondary education in Human Resources, Business Administration or related field
- Minimum 1-3 years of HR experience in an HR role
- Working knowledge of Canadian employment legislation (federal or provincial)
- Strong attention to detail, organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to handle sensitive information with discretion and maintain confidentiality
- The ability to multi-task and adapt to change in a fast-paced dynamic environment and provide timely responses
- Demonstrates a high degree of professionalism and customer service, with excellent solid and interpersonal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and HRIS systems
- Experience with Ceridian Dayforce is an asset.
- CHRP designation or working toward is an asset
