Coordinator, Parent Relations and Events

Location: Oakville, Ontario (on-site)
Type: Full-time

Start Date: July 1, 2025 – June 30, 2026

**Salary Range: $**55,000 – $65,000

HOW YOU WILL THRIVE:

As the Coordinator, Parent Relations and Events, you will be at the center of coordinating events that bring our community together. From monthly meetings to impactful fundraising initiatives, your organizational skills will help transform ideas into unforgettable experiences.

HOW YOU WILL SUCCEED:

  • Provide essential administrative and logistical support to the Director of Parent Relations, supporting the effective coordination of tasks and events with the Appleby College Parents’ Association (ACPA)
  • Serve as the go-to liaison for all ACPA and Parent Relations requests ensuring every task is completed in a timely and orderly fashion
  • Assist in developing eye-catching event marketing and promotional materials (printed and electronic) and manage the timely updates and distribution to relevant stakeholders
  • Coordinate on-site events set-up, execution and teardown ensuring every aspect runs smoothly
  • Source vendors and event suppliers for applicable events; ensure reconciliation of purchase orders and invoices for payment
  • Manage post-event follow-up activities, including thank-you letters, gifts, debrief meetings, and tax receipt processing, while maintaining positive relationships with donors and parents
  • Input and maintain event data in Raiser’s Edge to support effective event management and tracking
  • Track Parent Criminal Record Checks and coordinate volunteers and assignments for the New Parent Buddy program and other events as needed
  • Maintain a regular on-campus presence, working five days per week with occasional evening and weekend availability to support events.
  • Attend all ACPA meetings with ACPA executives and volunteers and share key updates and action items with relevant event committees

WHAT YOU BRING**:**

  • A post-secondary degree preferably in Events and/or Business Administration or a related field
  • Multitasking enthusiast that thrives with juggling numerous projects simultaneously
  • Detail dynamo with a sharp eye for details and accuracy
  • Strong written and verbal communicator with the ability to engage and collaborate with ease
  • Team player working collaboratively with others to make events a success
  • Relationship builder to foster positive connections with stakeholders and others within the Appleby Community
  • Tech-savvy pro in Microsoft Office Suite (Word, Excel, PowerPoint & Outlook).
  • Knowledge of Raiser’s Edge or other CRM is an asset
  • Discretion specialist who understands the importance of handling sensitive information
