Position Summary
The Project Coordinator supports project delivery across our Emergency and Abatement divisions from first call through final invoice. This role is the operational hub between field technicians, project managers, clients, adjusters, and subcontractors. The successful candidate will coordinate emergency dispatch and job intake, maintain project documentation to regulatory and industry standards, support estimating and billing, and keep clients informed at every stage of a loss or abatement project.
Key Responsibilities
Emergency Division Coordination
Coordinate technician scheduling and equipment and inventory tracking. Prepare and issue Emergency Services Authorizations and other client-related documentation. Draft and send mitigation status reports, drying updates, and completion communications to property managers, adjusters, and clients. Monitor documentation quality in field management software (Albi) and follow up with technicians on photo, moisture, and daily log standards. Coordinate restoration post-mitigation including Scopes of Work, estimates, timelines, scheduling, and client/insurance/subcontractor coordination.
Abatement Division Support
Prepare and maintain abatement project documentation, including Scopes of Work, Asbestos Management Plans, Notifications of Project, and air monitoring coordination with independent environmental professionals. Track project milestones, containment stages, and clearance requirements in accordance with the Alberta OHS Code and the Alberta Asbestos Abatement Manual, along with Saskatchewan and Manitoba equivalents where applicable. Coordinate subcontractors, waste manifests, and site access with building owners and general contractors.
Estimating and Billing
Assist with cost tracking, rate sheet application, and Xactimate-supported estimates and costs-to-date workbooks. Prepare invoices and supporting backup, respond to client billing inquiries, and help resolve disputes with accurate line-item documentation. Support tender submissions and proposal packages for commercial and institutional projects.
Administration and Compliance
Maintain project files, service agreements, and authorization records. Support scheduling tools, project dashboards, and equipment and fleet tracking. Contribute to continuous improvement of forms, templates, checklists, and standard operating procedures. Assist with onboarding materials and technician training documentation as required. Coordinate with Technicians in maintaining the health of the fleet, including maintenance, and equipment and consumable stock logistics.
Qualifications (Must Have)
Strong written communication skills with the ability to produce professional client-facing correspondence and reports. Proficiency with Microsoft Excel, Word, and Outlook. Highly organized with the ability to manage competing priorities across multiple active projects. Comfortable working in a fast-paced emergency services environment, including occasional after-hours coordination. Valid Class 5 driver's licence.
Qualifications (Recommended)
Two or more years of experience in restoration, construction, insurance claims, or a related project coordination role. Experience with Xactimate, MS Project, or restoration management software (Albi, DASH, or similar) is a strong asset. Familiarity with IICRC S500 and S520 standards, Alberta OHS asbestos regulations, or WRT certification is an asset.
