Job summary

We are seeking an exceptional communicator with proven experience in patient coordination and appointment scheduling to join our premium dental practice. You will be responsible for increasing our new patient booking rates while efficiently managing our practice schedule. This is a leadership receptionist position where you'll excel at patient communication and can effectively guide potential patients through their treatment journey while maintaining our practice's exclusive positioning and premium patient experience. Key Responsibilities

Patient Communication & Scheduling Welcome new patient inquiries and guide them through scheduling appointments via phone and email Build rapport and establish trust through professional, friendly communication Optimize new patient booking rates and lead conversions through strategic follow-up systems and relationship building Manage referrals from other dental offices with priority attention Schedule Management Coordinate and optimize the practice schedule across multiple specialists Ensure efficient appointment flow while minimizing gaps and disruptions Track scheduling patterns and continuously improve appointment accessibility Maintain accurate records of all patient interactions and schedule changes Administrative & Team Support Process insurance claims (pre-authorizations and claim submissions) Collaborate with clinical team to ensure smooth patient flow Support administrative team members as needed Participate in team meetings and practice improvement initiatives Qualifications: Minimum of 2 years’ experience in a dental practice or high-end hospitality/sales environment Demonstrated success in patient scheduling, practice coordination, and lead conversions Exceptional interpersonal, written, and verbal communication skills Tech-savvy with experience in CRM or practice management software Track record of reliability and consistent performance Proven ability to handle multiple priorities while maintaining quality Outstanding proficiency in English Ideal Candidate Qualities Patient-focused with a track record of excellent service delivery Organized professional who can identify patterns and implement improvements Confident and articulate communicator who can represent our premium brand Detail-oriented with excellent follow-through capabilities Team player who contributes to a culture of excellence Comfortable working in a fast-paced, high-performance environment Technical Skills: Familiarity with dental software is an advantage but not required (e.g., Curve, Weave, Clover) Proficiency in or willingness to learn Google Workspace (Gmail, Google Drive) Experience with or openness to learn project management tools (e.g., Asana) Willingness to adapt to new technologies and software as needed (e.g. AI tools) Benefits: Competitive hourly rate with additional performance and target-based bonus opportunities Well-being benefits package Covered parking Uniform provided Comprehensive training program Potential for growth into more senior roles Our Ideal Candidate You are a self-starter, problem-solver, and outstanding communicator.
