Community is looking for a Receptionist and Executive Assistant to join our creative crew!
Position Overview
The Receptionist and Executive Assistant is a highly visible role that sits at the heart of the agency. As the first point of contact for employees, clients, partners, and visitors, you'll create a welcoming and professional experience while ensuring the office operates smoothly and efficiently.
At the same time, you'll provide dedicated administrative and organizational support to a senior leader, helping manage schedules, communications, travel, budgets, and key business priorities.

Key Responsibilities
RECEPTION & OFFICE OPERATIONS Serve as the face of the agency, creating a welcoming experience for guests, clients, and visitors Act as the first point of contact for the agency by welcoming visitors, answering and directing calls, and ensuring inquiries and requests are routed appropriately across the organization Coordinate courier deliveries, shipping, and incoming packages Maintain reception and common areas to ensure a clean, organized, and professional office environment Restock kitchen, coffee, snack, and office supplies as needed Coordinate team lunches, meetings, and in-office hospitality needs Support onsite visits from vendors, building maintenance personnel, and service providers Assist with general administrative and office support tasks as required
EXECUTIVE SUPPORT
Provide administrative support to a senior leader Schedule meetings and manage calendar invitations Coordinate travel arrangements, including flights, accommodations, and transportation Prepare, format, and proofread correspondence, presentations, and documents Assist with monitoring email communications and flagging items requiring attention Support meeting preparation, note-taking, and follow-up on action items Process expenses, invoices, and related administrative documentation Help maintain organized records, files, and business documents
ADMINISTRATION & BUSINESS SUPPORT
Assist with document preparation, filing, and record maintenance Support onboarding logistics, including workspace setup and welcome materials Assist with internal meetings, team events, and office activities Provide administrative support across departments during busy periods or staff absences
Qualifications
EXPERIENCE 1-3 years of experience in a Receptionist, Administrative Assistant, Front Desk, or similar role Agency, creative, professional services, hospitality, or customer-facing experience is considered an asset SKILLS Exceptional organizational and time management skills Strong verbal and written communication abilities Ability to handle confidential information with discretion and professionalism Strong attention to detail and follow-through Comfortable managing multiple competing priorities Proficiency with Microsoft Office and business productivity tools Strong problem-solving skills and ability to work independently EDUCATION: Post-secondary education in Business Administration, Office Administration, Communications, Hospitality, or a related field, or an equivalent combination of relevant experience and transferable skills

Community thrives on real-time collaboration, shared energy, and the kind of spontaneous creativity that happens when people are together. As such, this role is based full-time in our office at 822 Richmond St. W, Toronto, Monday to Friday, 9:00am-5:00pm.
Salary: The anticipated base compensation range for this role is $45,000-$55,000. Actual base pay offered within this range may differ based on a range of factors, including individual experience, education, skills, and organizational needs.
