This is a dual-purpose, strategic role combining executive support with office operations leadership for Sanofi's Toronto AI hub, particularly focusing on DS&O. You won't just be executing tasks — you'll be setting the approach, building the systems, and establishing the best practices that keep DS&O and the hub running at its best. The ideal candidate is proactive, highly organized, and comfortable operating in a fast-paced, global environment. This role offers meaningful variety and real opportunity to grow alongside the team. The role is dynamic, evolving as the team and hub evolves, and includes detailed elements below, along with other duties as assigned by your manager.

Main Responsibilities:
Executive Support & Leadership Coordination
- Design and lead calendar management and scheduling protocols for senior DS&O leaders, ensuring time is prioritized effectively
- Establish travel coordination frameworks and best practices for the team
- Create expense management processes that ensure compliance with Sanofi policies
- Develop agenda-tracking and action-item systems for leadership meetings
- Set the standard for confidentiality and executive communication within DS&O
Office Management & Operations Leadership
- Establish and lead guest management protocols, policies, and procedures for the Toronto office
- Design and implement staffing approaches for reception, facilities, and visitor coordination
- Develop policies for lunch programs, catering, and office hospitality standards
- Create procurement frameworks for office suppliers, vendor relationships, and inventory management
- Build systems and processes that can scale across the broader Toronto office beyond DS&O
- Own the DS&O office experience while developing replicable models other teams can adopt
- Lead by example — manage DS&O's day-to-day needs while establishing best practices others can follow
Procurement & Vendor Operations Leadership
- Establish purchase order processes and eBuy/Buying Hub workflows for the team
- Design external onboarding frameworks through Flext — including SOW processing, Pontoon/CREW/SAP Fieldglass approvals, and contingent worker management
- Create support protocols for the OneSupport portal and vendor management
- Build scalable procurement approaches that reduce friction and improve consistency across DS&O
Reporting & Analytics Support
- Develop expense tracking and reporting systems that give DS&O clear financial visibility
- Provide analytical support on select projects as needed
- Create lightweight dashboards or reporting frameworks to support team decision-making
About You
Experience / Skills / Education:
- Diploma with 3+ years of experience in an EA, administrative, or office management role
- A strategic mindset — you think about systems, not just tasks
- Strong organizational and multitasking skills
- Confident communicator — written and verbal
- Comfortable with digital tools (Microsoft 365, expense platforms, procurement systems)
- Discretion and professionalism when handling sensitive information
- A proactive, can-do attitude — you spot what needs doing and build the approach for it
- High school diploma or equivalent required
