Are you looking to be part of a dynamic and entrepreneurial team? As one of Canada's Best Managed Companies, we're looking for a strong team player to join our Calgary Procurement team.
As Buying & Sales Coordinator, you'll support the Procurement team in the purchasing, coordination, and administration of fresh produce, while helping deliver great service to our customers. You'll work closely with the Buying, Sales, Operations, and Import teams, assisting with order entry, customer programs, pricing, inventory coordination, and day-to-day administrative support. This role is a great fit for someone with initiative who enjoys getting involved in different parts of the business.
RESPONSIBILITIES
Purchasing & Operational Support
- Assist buyers with purchase order entry, truck dispatch coordination, border documentation, supplier maintenance, and reporting.
- Support purchasing for assigned product categories (herbs, mushrooms, garlic, salads, and others), including pallet bookings, product transfers, and opportunity buys.
- Support import planning by coordinating with the Import team.
- Capture product photographs as required.
Sales Coordination
- Process and enter customer orders — including key accounts and special requests — ensuring accuracy and timely fulfillment.
- Support customer programs, promotions, special pricing, price lists, and advertisements.
- Monitor inventory levels to support customer commitments and provide customer service to key and smaller accounts.
- Prepare sales orders for front sales customers and assist with setting up new customer accounts.
Administrative Support
- Prepare invoices, credit notes, and related documentation.
- Coordinate meetings, prepare materials, and record minutes as needed.
- Provide backup support to the Quality Control team during vacations and peak periods.
- Perform other administrative and operational duties as assigned.
WHAT YOU BRING
- Post-secondary education in Business Administration, Supply Chain Management, Commerce, or a related field, or an equivalent combination of education and experience.
- Minimum one (1) year of experience in purchasing, buying support, sales coordination, customer service, or an administrative role.
- Experience in the produce, food service, wholesale, or distribution industry is preferred; experience with ERP systems is an asset.
- Strong analytical and numerical skills, with the ability to interpret pricing, inventory, and sales data.
- Excellent organizational and time management skills, with strong attention to detail and accuracy.
- Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
- Strong communication skills, a customer-focused mindset, and a self-motivated, team-oriented attitude.
