The Finance team is responsible for managing Ivey Group of Companies financial resources and ensuring fiscal responsibility. This includes budgeting, financial reporting and analysis, working capital management, and compliance. The Finance team plays a central role in the academic mission of the school and foundation by ensuring sound financial management, effective resource allocation and compliance with regulatory requirements.
Position Overview
Reporting to the Manager Finance, provides timely and accurate financial reporting to Ivey Business School Foundation and Ivey Business School Asia. Process general journal entries for IBSF. Assist with IBSA general journal entries, AP and AR functions. Assist with implementation of financial process improvement initiatives.
Responsibilities
Prepare financial reporting for IBS Foundation Month-End Close & Journal Entries Assist with month-end review and prepare recurring general journal entries (e.g., fixed-asset depreciation, inventory chargebacks, AP reclasses, USD revaluation). Update periodic exchange rates in Great Plains and set up new chart-of-account codes as needed.
Reconciliations – Revenue & Receivables
Reconcile Salesforce sales data, Moneris, PayPal, and corporate credit-card transactions; investigate variances and record related journal entries (accruals, fees, clearing). Reconcile Ivey Publishing accruals during the fiscal year and prepare corresponding entries.
Reconciliations – Balance-Sheet Accounts
Reconcile prepaid expenses, BU28, inter-company accounts (IBS Asia, UWO, DKJ, IBSF), and key clearing accounts 1015/1019; prepare supporting entries and resolve discrepancies.
Treasury, Tax & Payments
Prepare wire payments and EFT submissions. Remit GST/HST to CRA and record journal entries.
Reporting & Continuous Improvement
Distribute monthly financial reports to stakeholders. Review and investigate accounting transactions to improve data accuracy and strengthen internal controls.
Financial budgeting, forecasts & other tasks assigned by Manager, Finance
Assist with the review and implementation of financial process improvement initiatives. Assist with preparation of IBSF and IBSA budgets.
Prepare and analyze monthly forecasts for Ivey Executive Education
Assist with budget upload for both IBSF and IBSA budgets. Provide support during the year-end audit for both IBSF and IBSA. Other duties and projects assigned by the Manager, Finance.
Prepare financial reporting for IBS Asia
Assist with the monthly financial reporting process, including preparing general journal entries, prepaids, and accruals. Prepare journal entries for fixed asset depreciation and update the fixed asset continuity schedule. Reconcile corporate credit card transactions. Assist with AP functions, including processing supplier invoices and issuing payments. Assist with AR functions by preparing client invoices and recording payments received. Prepare bank reconciliations for IBS Asia bank accounts. Review and investigate accounting transactions to improve data accuracy. Distribute monthly financial reports to stakeholders.
Qualifications
Education & Experience Successful completion of a college or university degree in Accounting or Business. Minimum of 2-3 years of related business or accounting experience.
Strong knowledge of generally accepted accounting principles (GAAP)
Skills and Abilities
Intermediate Excel skills (expertise with Vlookup, pivot tables, charts) Effective organizational, communication and interpersonal skills Effective analytical and problem-solving skills Proven ability to work under pressure and meet deadlines Strong attention to detail and accuracy Professionalism and diplomacy; sensitivity in working with confidential information Experience in an organization with multiple business units and multi-currency accounting systems
