PAYROLL SPECIALIST Summary As part of the Payroll Administration team and reporting to the Payroll Manager based in New Jersey, the Payroll Specialist is responsible for administering and processing the full payroll cycle for the Toronto, Knowlton and Longueuil payroll groups, representing approximately 700 employees. Main Responsibilities Maintain and verify employee payroll records in the HR system; Collect and validate employee information related to new hires, status changes, terminations, etc.; Process bi-weekly payroll according to established procedures; Process payroll deductions, wage garnishments and support orders; Notify government authorities when required for extended employee absences; Support managers with timesheet management and validation; Review and balance government remittances generated through Dayforce in accordance with applicable requirements; Prepare data required for provincial and federal government remittances and ensure payments are made within required deadlines; Prepare Records of Employment (ROEs) when required; Review insurance billing and prepare monthly payment requisitions for group insurance; Enroll employees in group insurance and retirement savings programs and process required updates; Prepare detailed files for third-party payments related to retirement savings plans, CSN Equity Funds and QFL; Follow up with retirement savings plan providers regarding employee terminations and contribution stops; Prepare and process payroll-related journal entries at month-end; Adjust vacation banks when employees return to work following illness, CNESST leave or maternity/paternity leave; Prepare the annual vacation file and perform the required validations in Dayforce; Prepare the vacation rate import file at the beginning of the fiscal year; Perform audits and validations of insurance coverage changes before each payroll; Follow up on insurance premium payments for employees on leave; Maintain the monthly headcount file and provide information to management; Prepare files related to hours, eligibility and bonus percentages and provide them to Finance; Prepare files required for bonus payroll processing; Perform year-end activities, including taxable benefit balancing and preparation of data required for RL-1 and T4 slips; Follow up on requirements related to the 1% Training Law; Complete and participate in year-end reporting activities, including salary declarations, CNESST and 1% Training; Complete employment verifications and confirmations when required; Perform other related duties and projects as assigned by the immediate supervisor. Qualifications DEC in Accounting, Administration or a related field, or equivalent experience; 3 to 5 years of experience in a similar role; Demonstrated experience processing the full Canadian payroll cycle; Good knowledge of payroll-related legislation, regulations and tax requirements in Canada; Strong knowledge of Excel and Microsoft Office; Bilingualism in French and English is essential, both written and spoken. The candidate must be able to communicate effectively with employees, managers and partners across Canada and the United States. ASSETS Experience with Dayforce is a major asset; Canadian Payroll Association (CPA/ACP) training is an asset; U.S. payroll knowledge is an asset. Previous U.S. payroll experience is not required, but the candidate must be interested in developing their knowledge in order to eventually provide backup support for U.S. payroll.
