You'll lead the coordination effort, mentor Project Coordinators, and make sure every project lands on time, on budget, and to spec. Key Responsibilities Own the overall project schedule — anticipate issues, prioritize, and coordinate tasks across sales, lighting design, estimating, procurement, installation, commissioning, client services, and finance Act as the central point of contact and communication between clients, sales, operational departments, finance, and management Build and maintain project timelines (Excel or specialized software) — set due dates, adjust for real-time issues, and hold the project to schedule Proactively manage and mitigate foreseen project risk Read and review contract documents (contracts, proposals, RFPs, budgets) and ensure execution meets contractual obligations and specifications Schedule and lead internal and client meetings — kickoff, progress reviews, closeout, and postmortem Respond to client questions and concerns on project status, schedules, invoicing, and service requests, ensuring a high level of client satisfaction Draft, review, and oversee purchase order and contract documentation alongside Project Coordinators and the Procurement team Coordinate custom shop drawings and photometric reports with the LEDPAX engineering department based on client needs Coordinate with third-party vendors and partners, including on-site commissioning Process change requests with clients, subcontractors, and suppliers; create and track change order logs and official paperwork Schedule, coordinate, track, and report on on-site arrival of project materials Oversee timely resolution of on-site installation issues (sub-par installation, missed fixtures, defective product) Maintain project budgets, reconcile, and investigate variances; provide accounting with the information needed for project invoicing and ensure proper sign-offs before payment processing Review, update, and draft Standard Operating Procedures and templates, and contribute to workflow improvements as LEDPAX continues to scale Travel to job sites, client meetings, contractors, and vendors approximately 1% of the time, occasionally including overnight stays Qualifications 5+ years of project management experience (lighting, construction, or manufacturing preferred) Proven ability to manage multiple concurrent projects, schedules, and budgets end to end Strong contract literacy — comfortable working through proposals, RFPs, specifications, and change orders Excellent organization, prioritization, and multitasking abilities Strong communication, stakeholder management, and customer service skills Proficiency with project management tools (Asana, Monday.com, etc.) and Microsoft Office, including Excel Detail-oriented, analytical, and proactive in problem-solving Bilingual (English/French) a plus Who You Are A confident communicator who can hold the line with clients and vendors while keeping relationships strong Highly organized and capable of managing multiple priorities without losing the details Someone who thrives in a growing, fast-paced environment A team player with a solutions-driven approach who lifts up the people around them Excited about technology, innovation, and modern lighting solutions Ready to Grow With Us?
