Norton Rose Fulbright Canada LLP is currently seeking a highly organized, detail-oriented and proactive Legal Assistant to work with our Business Group in the Toronto office. This position will appeal to candidates who enjoy a busy and challenging position in an office with a great culture. The primary responsibilities of the position are outlined below: You will be focusing on: Manage lawyers' calendars, email inboxes, appointments, and meeting schedules Coordinate calls, meetings, and other business-related activities Maintain electronic files, including file organization and bring-forward systems Monitor and respond to time-sensitive matters, exercising sound judgment and initiative when lawyers are travelling or unavailable Coordinate business travel arrangements, including itineraries and supporting materials Assist with billing, expense processing, and monthly reporting Edit, format, proofread, and revise legal and business documents, correspondence, agreements, reports, and presentations Open, maintain, and close client files in accordance with firm procedures Provide administrative and operational support as assigned and assist others as required Collaborate with colleagues to ensure seamless support and exceptional client service What you bring to the role: A minimum of five years' experience as a Legal Assistant, preferably within a Business Law practice, supporting Corporate, Commercial, and/or Mergers & Acquisitions matters A Legal Assistant, Law Clerk, or Paralegal diploma, which would be considered an asset Excellent organizational, time management, and prioritization skills Strong written and verbal communication skills Exceptional attention to detail and advanced proofreading abilities The ability to manage multiple competing priorities in a fast-paced environment Experience preparing and formatting legal documents using styles Advanced proficiency with Microsoft 365 applications and document management systems The ability to work independently while also collaborating effectively within a team environment A high degree of professionalism, discretion, and commitment to confidentiality Flexibility to occasionally adjust working hours to meet practice and client needs Why join our team: Hybrid work environment Retirement savings plan with employer contribution Benefit premiums paid by the firm Telemedicine services Wellness matters: Flexible health and wellness allowance that covers much more than gym memberships!
