The Facilities Project Coordinator is responsible for coordinating and administering the design and construction of capital works and maintenance projects, as directed. This position also assists with work related to asset management. What Success Looks Like Prepare cost estimates and submissions for program and contract approvals. Prepare tender packages and coordinate tender calls; review and evaluate bids. Prepare requests for proposals; participate in selection of consultants. Coordinate and administer facility construction activities: Inspect and record construction activities and progress. Prepare and/or check progress claims. Prepare and recommend approval of change orders and contract extensions. Approve on-site construction changes. Oversee, liaise, instruct and approve all phases of consulting work. Prepare project cost and progress reports. Liaise with tenants and stakeholders to ensure coordination of projects; facilitate communication among task groups by interacting with management and with project teams to ensure successful completion of project work. Coordinate project close-out data and coordinate with Asset Management Team to select relevant data for input to VFPA’s Computerized Maintenance Management System (IAMS) Assist the Manager, to oversee the project plan to ensure projects are executed, monitored, and controlled effectively. Provide support and expertise to department projects as directed. Maintain constructive relationships with tenants and stakeholders, and with project design and construction teams. Organize and/or carry out asset inspections and assessments. Report on inspection/assessment results and recommend follow-up actions. Work with Asset Management Team to ensure recording of appropriate data, including scheduling of recommended follow-up actions. Review tenant project plans to identify possible impacts on the facility and other scheduled projects. Ensure compliance with lease agreements and administrative requirements. Identify, evaluate, recommend, and implement process improvements to enhance efficiencies. Perform other assigned duties as required. What You Bring Must have a two-year full-time technical diploma from a recognized educational institution along with a minimum of 3 years of related experience in capital and maintenance project administration and coordination, and asset management. Including project planning, design, construction supervision and contract administration. A PMP designation and facility experience is considered an asset. Must have excellent computer skills including databases, MS Word, Excel and PowerPoint. Must be a team player with excellent interpersonal and communication skills and the ability to work effectively and positively with all contacts, internally and externally. Must be able to work independently, accurately and on own initiative to maintain work output with minimum supervision. Must be a highly organized and detail-oriented individual who can manage competing priorities. Must have excellent command of the English language, both oral and written. Based on a 40-hour work week. Location: Vancouver, Canada Job type: Bargaining Unit, Full-Time, Permanent, In-office Working environment: Normal office conditions with regular exposure to noise and adverse weather conditions for outdoor work. Requirements

Candidates must possess a two-year full-time technical diploma and at least three years of related experience in project administration and asset management. Proficiency in MS Office and strong organizational and communication skills are required, along with the ability to obtain a Marine Transportation Security Clearance.
