Job details
About Accountally At Accountally, we believe bookkeeping should be about more than producing a clean set of financial statements. We partner with business owners to help them understand their numbers, identify opportunities to save money, improve their financial processes, and make better decisions. We use AI, automation, and modern bookkeeping tools to simplify and streamline the work—giving our team more time to focus on the areas where human judgment, communication, and insight create the most value. We’re a small, growing firm, and every person on our team has a meaningful impact on how we work and the experience we deliver to our clients. About the Role We’re looking for a Business Operations Specialist who combines hands-on automation skills with a sharp eye for process, and who wants to make the way our firm works faster, more reliable, and less manual. You’ll split your time between designing better workflows and building the automations and integrations that run them. Your first big project will be our month-end close. You’ll report to our VP of Operations and work remotely from anywhere in Canada. The right person for this role doesn’t just ask, “Can this be automated?” They also ask, “Should this step exist at all? Where does work get stuck? And what would make this easier for the team and better for our clients?” What You'll Do Own the redesign of our month-end close workflow in your first 90 days: map every step, owner, handoff, and delay, then fix the biggest bottlenecks and error risks Map, document, and improve core firm workflows, including client onboarding, internal handoffs, task management, and reporting Build and maintain integrations and automations across our accounting platforms (Kick, QuickBooks Online, Xero), practice management tools (Notion), and Google Workspace and Slack Use AI and automation tools such as Zapier and Claude thoughtfully, with clear prompts, guardrails, and human review steps built in Write clear SOPs and runbooks so every process and automation can be run, checked, and fixed by someone else Monitor automations for failures and data errors, and keep a change log of what was built and why Set baselines and track results, such as close time, rework, and hours saved, so we know what’s working Train the team on new workflows and gather feedback to keep improving them Protect client financial data by building access controls, approval steps, and confidentiality into everything you create Help evaluate new tools and vendors for cost, fit, and security Collaborate with the Accountally team to solve problems, improve processes, and continuously raise the standard of our service Skills You’ll Bring 3–6 years of experience in business operations, process improvement, business systems, or a similar role A track record of automations and integrations you built yourself and kept running, using tools such as Zapier, Make, or native integrations Experience mapping and redesigning multi-step workflows, with measurable results such as time saved or fewer errors Working knowledge of at least one accounting platform (QuickBooks Online, Xero, or similar) and a practical understanding of month-end close Strong documentation habits: SOPs, process maps, and change notes that others can follow without you Good judgment with sensitive data and comfort building review and approval steps into automated work Strong problem-solving skills with a focus on the root cause of an issue—not just fixing the immediate problem, but putting solutions in place to prevent it from recurring Clear, concise communicator who works well remotely and independently across Slack, docs, and video calls Nice to have Experience in an accounting, bookkeeping, or professional services firm Hands-on experience using AI tools such as Claude in business workflows, with an openness to learning and adopting new technology Light scripting or formula skills, such as Google Apps Script, Python, or advanced spreadsheets Admin experience with Asana, monday.com, Notion, or Double A process improvement background or certification, such as Lean or Six Sigma Who you are You love fixing how things work. When you see a clunky process, you want to understand it and make it better. You embrace technology. You’re excited by automation and AI, and you know when a tool helps and when it just adds noise. You think beyond the task. You look for the “why” behind a workflow rather than simply automating what’s already there. You communicate clearly. You can explain a new process or system simply to a teammate who isn’t technical. You’re proactive. You spot problems in a workflow or automation and address them before they affect the team or clients. You’re highly organized. You document what you build and keep reliable systems for tracking projects and changes. You have good judgment. You know when to automate, when to keep a human in the loop, and when to escalate. You take ownership. When something needs to be fixed, you take responsibility for moving it forward rather than assuming someone else will handle it. Compensation and working arrangement The base salary range for this role is $95,000 to $110,000 CAD per year, based on experience. Type: full-time, permanent Location: remote within Canada Hours: This is a full time position, Monday-Friday. EST hours preferred Benefits: a comprehensive benefits package, including health and dental coverage, paid vacation and sick time Growth: as the firm and client base grow, this role can expand into leading our business operations function. Why Accountally? You’ll be joining a small team where your work will have a visible impact. We’re not interested in building a traditional bookkeeping firm where success is measured by how many transactions someone can process. We’re building a business where technology handles more of the repetitive work and our people focus on judgment, relationships, problem-solving, and creating value for clients. If you enjoy understanding how a business runs, finding what slows it down, and building the systems that make it work better, we’d love to hear from you.
