Job summary
Adams Lake Indian Band is seeking Executive Assistant to Chief and Council to work under the direction of the Adams Lake Band’s Chief Operations Officer or designate. The individual’s main responsibility will be to manage schedules and calendars, meetings, and travel for Chief and Council. The Executive Assistant will act as an extension of C&C emails and general communication by prioritizing responses. The EA will support senior executives, be an expert communicator and organizer, and be able to work at a high level of professionalism. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES · Performs all duties and responsibilities in accordance with Adams Lake Indian Band policies and procedures · Calendar and schedule management for Chief and Council or executive level meetings · Prioritizes communication, emails, and messages · Prepare budgets, reconcile, and track related income/expenses · General applications for events · Preparation of meeting agendas, taking meeting minutes and meeting minute distribution · Presentation preparation and coordination · Setting up meeting events, including venue organization, scheduling and support services · Proofreading communications and reports · General administrative duties as required · Performs other duties as required QUALIFICATIONS, KNOWLEDGE, AND SKILLS · Post secondary degree or Diploma in Business Administration or similar field · 5+ years of experience in an Executive Assistant role, supporting VP level or above · Proven success in prior comparable role · Proven ability to work well under pressure, prioritize tasks and meet deadlines · Must be able to work in a team, and independently · The ability to anticipate needs and requirements · Excellent communication & presentation skills · Intermediate Microsoft Office skills · Attention to detail · Must be able to manage confidential information · Flexible to attend events if required · Excellent customer service mindset and the ability to deliver to a high standard of competence SUPERVISORY RESPONSIBILITIES N/A PHYSICAL DEMANDS Those normally associated with a typical office environment. WORKING CONDITIONS Majority of work is performed in a typical office environment. Some travel may be required. EQUIPMENT AND SOFTWARE Office – Microsoft Word, Excel and Outlook OTHER REQUIREMENTS Valid Class 5 BC Driver’s License (copy) BONA FIDE JOB REQUIREMENTS Current Criminal Record Check with vulnerable sector clearance, with results acceptable to ALIB. TERMS OF EMPLOYMENT: Full time permanent position Wage range: $28 - $40 per hour determined based on education and experience. Location: 6331 Chief Jules Drive, Chase BC, V0E 1M0 Hours per week: 75 hours bi-weekly (max 37.5 hrs./week), with flexibility in hours/days of work. WHY US?
