About the Job Reporting directly to the Vice President, Operations, the Operations Coordinator responsibilities include working closely with our Operations management team to prepare comprehensive support; they will perform various coordinating tasks, like schedule and risk management, along with organizational duties, like maintaining project documentation and handling document management and communication skills, as you will collaborate with clients and internal teams to deliver results on deadlines. This position is based in-office in Edmonton and will work closely with internal teams and stakeholders to support AIGC’s Operations division. Why Join AiGC? About the Role In this role you will own: Coordinating and maintaining Operations division documentation, including electronic and paper records. Supporting SharePoint or future project management tools through scanning, uploading, filing, and maintaining documentation. Communicating plans, actions, risks, and issues with key stakeholders, and helping resolve issues as they arise. Working with the Operations team to eliminate blockers and support adherence to timelines and deliverables. Supporting project workshops, meeting scheduling, project plans, status reporting, budget reporting, resource coordination, and information requests. Maintaining project, initiative, task, issue, Project Change Request, and Request for Decision logs. Coordinating with operational leads to gather and consolidate information for decision-making. Producing and maintaining operational tracking, reporting tools, and process maps. Providing administrative support to the Operations division. Coordinating Operations requests, calendars, scheduling, and training activities. Assisting with onboarding activities of new employees. What You Bring Required: High school diploma or equivalent. Minimum of 2 years of experience in project coordination and multi-faceted administrative support. Working knowledge of Microsoft Word, Excel, and PowerPoint. Strong verbal and written communication skills, with the ability to work closely with team members, managers, and stakeholders. Strong organization and time-management skills, with the ability to multitask and manage competing priorities. Ability to handle confidential information and conduct yourself appropriately when working with proprietary data and employee documentation. Strong problem-solving skills and the ability to resolve issues independently where appropriate. Ability to periodically lift up to 25 lbs unassisted. Preferred: College diploma or other relevant post-secondary education. Proficiency with Visio, Microsoft Project, Teams, and SharePoint. Experience supporting project teams, coordinating workshops, tracking budgets, maintaining logs, and developing process maps or reporting tools.
