Role The Proposal Specialist is accountable for leading the development of complex, high-value, and strategically significant proposals and related business documentation. The Specialist applies advanced writing expertise to produce compelling, accurate, and well-organized submissions that meet the highest professional standards, align with company practices, and fully address customer requirements. The Specialist serves as a senior resource within the Proposal Department, providing guidance and elevating the quality of complex bid pursuits. Pay CA$38.50 - CA$43.27 per hour. Salary is negotiable for an experienced Proposal Specialist. Responsibilities Lead the end-to-end development of complex, multi-disciplinary, and high-value proposals, including large-scale solicitations, competitive RFPs, and strategic pursuits requiring advanced technical and commercial content. Apply expert-level writing, editing, and document structuring skills to produce polished, persuasive, and compliant proposal submissions. Coordinate cross-functional bid teams, facilitating communication between Proposals, Project Management, Estimating, and Operations stakeholders throughout the pursuit lifecycle. Manage the full bid clarification cycle on complex pursuits, including receiving and distributing clarification documents, coordinating technical responses from subject matter experts, consolidating inputs, and submitting responses to clients within required timelines. Support pricing negotiation processes, including coordinating revised pricing submissions and responding to client requests during post-submission negotiation stages. Manage submission confirmation and post-submission communication for active solicitations, ensuring internal teams are informed of outcomes and next steps. Interface with internal departments including Estimating, Operations, Project Management, and Safety to gather technical content, validate scope, and ensure proposals accurately represent company capabilities. Responsible for the document control process and standards maintained by the Proposal Department, ensuring consistency and compliance across all deliverables. Develop and maintain proposal templates, presentations, brochures, project profiles, and other documentation assets, with a focus on complex and reusable content. Ensure technical and commercial documents prepared for bid packages facilitate the proposal review process and guide production through to the final draft. Conduct and lead peer reviews of complex bid packages prior to submission, ensuring alignment with corporate branding strategy, company standards, and marketing objectives. Mentor and provide writing assistance to junior team members and bid teams, supporting process, quality, and efficiency improvement initiatives. Support the advancement of the company’s project management practices and procedures. Uphold a collaborative team environment by assisting peers with workloads and offsetting capacity as needed. Perform additional duties as assigned or required. Education, Training & Experience Experience working to firm deadlines in a construction or heavy industrial environment Post-secondary diploma or degree in business, communications, marketing, or similar field Minimum 3 years of work experience in a proposal coordination role or in a technical writing field Skills & Abilities Strong written and verbal communications skills with innate abilities in grammar and concise writing Ability to develop positive relationships with a diverse range of disciplines in a dynamic business setting Skilled with the use of Microsoft Office tools including Word, Excel, and PowerPoint Highly motivated with a strong work ethic Ability to prioritize competing tasks and manage multiple submissions Preference made with skills in marketing tools such as InDesign or Illustrator Benefits: Casual dress Dental care Disability insurance Employee assistance program Life insurance On-site parking RRSP match Vision care Wellness program
