Reporting to the Training Superintendent/Manager, the Training Administrative Assistant will support all matters related to Baffinland training and documentation. The admin will process data in the Learning Management System (LMS) following protocols in place and manage record keeping of training documentation. They will work in close contact with the Training Teams to receive all training documentation Main Accountabilities Data entry of training record in the LMS (Cognibox) and other tracking spreadsheets/tools as per protocol. Organize and maintain digital copies of training records on the department network by scanning and filing documents. Update LMS as per monthly HR list to ensure accurate data for IIBA reporting File and archive hardcopy documentation. Update Orientation tracker for LMS E-learning completions as requested by supervisor. Create new trainee employee profiles on LMS and assign required courses Create Orientation requirements sheets for newcomers arriving on site and organize associated paperwork. Review and audit PMGC training request dashboard for anomalies, such as duplicate entries Adjust the date range available for employee’s who have left site without completing the training requested to ensure visibility in the system. Generate reports from LMS and other systems for department use. Assist trainees in the computer lab for computer-based training, including password resets, logging in, printing certificates Assist with any training-related projects such as optimizing our use of the LMS to ensure accuracy Main Qualifications three (3) years of experience in an adminstrative role Proficient in Microsoft Office (Word, Excel, Powerpoint, Outlook) High School Diploma & Certificate in Office Administration Preferred Diploma from a vocational institution Preferred Knowledge of Cognibox Preferred Familiarity with SAP or other training Preferred Experience with account creation and maintenance in an LMS Preferred Ability to communicate (spoken, reading, writing) in both English and Inuktitut Preferred Experience working in a remote, Arctic environment will be considered an asset Experience with mining and training environment will be considered an asset Experience with SAP will be considered an asset Read, write, and speak clearly and concisely Self-motivated and an active team member in the achievement of team goals Safety oriented Ability to work at a remote mine site on a rotational schedule Strong interpersonal, communication skills with a supportive, positive approach. Strong organizational skills and attention to detail. Cultural awareness, respectful towards others and an understanding of different learning styles and principles as it relates to adult learning. Adaptable, willing to learn, work with minimal supervision.

Requirements
Candidates need three years of administrative experience, proficiency in Microsoft Office, and a high school diploma or certificate in office administration. Proficiency in Inuktitut and experience with Cognibox or SAP are preferred assets.
