RÉSUMÉ DU POSTE Le (la) spécialiste de programme assure la gestion administrative des données relatives aux projets et le soutien pour la coordination des communications avec les prestataires de soins de santé, les client(e)s et le personnel de première ligne pour l’équipe du programme et de gestion. Ce poste consiste à offrir un soutien aux patient(e)s et au programme, à contribuer à la planification et à l’exécution des projets, à superviser les tâches de production de rapports et à assurer l’exactitude, l’intégrité et la cohérence des données du programme. Le (la) spécialiste de programme peut également soutenir l’équipe opérationnelle du programme dans l’organisation et la hiérarchisation de ses tâches, telles que la gestion des cas et l’escalade auprès des client(e)s, et sert de point de contact pour les sites d’injection tiers et les pharmacies de livraison externes. FONCTIONS ET RESPONSABILITÉS • Effectuer la saisie de données, le tri des communications entrantes/sortantes, la gestion des boîtes de réception partagées et les tâches administratives. • Soutenir les activités liées aux projets, notamment le suivi, la documentation, le suivi des délais et les mises à jour. • Diriger et mettre à jour les outils de suivi de projet qui lui sont assignés. • Soutenir et coordonner les projets numériques et de production de rapports. • Compiler des rapports et des analyses sur les résultats attendus établis et ponctuels. • Servir de personne-ressource pour les parties prenantes internes. • Aider le personnel de première ligne du programme avec les communications avec les parties prenantes, au besoin. • Effectuer des analyses approfondies des données, des tendances ou des processus opérationnels des programmes, selon les besoins. • Assurer l’exactitude des données de l’équipe, effectuer des vérifications d’intégrité des données et soutenir les initiatives de nettoyage. • Superviser le suivi et l’analyse des indicateurs, des IRC et des tendances en matière de rendement. • Contribuer au rapprochement des factures, aux rapports, aux tableaux de bord et aux résultats attendus mensuels. • Participer aux initiatives d’assurance de la qualité et d’amélioration continue. • Prendre des notes de réunion, documenter les mesures à prendre et assurer le suivi des tâches à exécuter. • Effectuer toute autre tâche assignée pour soutenir la gestion du programme. JOB SUMMARY The Program Specialist provides administrative, project support data management, and support to coordinate communications to HealthCare Providers, client and front-line staff on behalf of the Program and Management team. This role supports patients and the program, contributes to project planning and execution, oversees reporting tasks, and ensures accuracy, integrity, and consistency of program data. The Program Specialist may also support the program operational team with organization and prioritization of their task such as case management, escalations to the client, and acts as a point of contact for external third party injection sites and delivery pharmacies. DUTIES AND RESPONSIBILITIES • Complete data-entry, triage inbound/outbound communications, manage shared inboxes, and complete administrative duties • Support project-related activities including project tracking, documentation, timeline monitoring, and updates. • Lead and maintain project trackers as assigned. • Ensure timely and compliant reporting of Adverse Events (AEs) and Product Quality Complaints (PQCs) in accordance with Health Canada pharmacovigilance requirements and guidelines, including accurate documentation, appropriate escalation, and effective collaboration with internal stakeholders and regulatory teams. • Support and coordinate digital and reporting projects. • Pull together reports and analysis on established and ad hoc deliverables. • Act as a resource liaison for internal stakeholders • Aid program frontline staff with stakeholder communications as needed. • Conduct deep-dive analyses of program data, trends, or operational processes as required. • Ensure team data accuracy, perform data integrity checks, and support cleanup initiatives. • Oversee tracking and analysis of metrics, KPIs, and performance trends. • Assist with billing reconciliation, reports, dashboards, and monthly deliverables. • Participate in quality assurance and continuous improvement initiatives. • Take meeting notes, document action items, and follow up on outstanding tasks. • Complete other duties as assigned to support Program Management. QUALIFICATIONS • Diplôme d’études postsecondaires ou équivalent. • Excellentes compétences en service à la clientèle, en communication et en résolution de problèmes. • Excellentes compétences en communication écrite et verbale. • Grande attention aux détails, organisation et capacité à gérer plusieurs tâches en même temps et efficacement. • Capacité d’adaptation à un environnement dynamique et en constante évolution. • Plus de trois ans d’expérience au sein d’un programme de soutien aux patient(e)s, particulièrement en matière de remboursement ou de gestion de cas. • Minimum de trois à cinq ans d’expérience en analyse ou en production de rapports sur les données. • Solides compétences en analyse de données, notamment la capacité d’interpréter, de valider et de présenter des conclusions. • Maîtrise avancée de Microsoft Office (Excel, Word, Outlook). • Expérience de travail avec des systèmes de bases de données de GRC et des processus d’exactitude des données. • Ce poste exige la maîtrise du français et de l’anglais (oral et écrit) en raison d’exigences opérationnelles, réglementaires et liées à la relation avec les client(e)s. QUALIFICATIONS • Post-secondary education or equivalent experience. • Strong customer service, communication, and problem-solving abilities. • Excellent written and verbal communication skills. • High attention to detail, organized, and able to multitask effectively. • Ability to adapt to a fast-paced and evolving environment. • 3+ years experience in a role within a patient support program, specifically in reimbursement or case management • 3-5 years min experience within analyst or data reporting background. • Strong data analysis skills, including the ability to interpret, validate, and present findings. • Advanced proficiency with Microsoft Office (Excel, Word, Outlook). • Experience working with CRM systems and data accuracy processes. • Must be fluent in verbal and written communication and interpersonal skills for both English and French (Applicable for provinces/regions with French language service requirements) At Bayshore Healthcare, our commitment to Equity, Diversity & Inclusion is our strength.
