Production Assistant We are seeking a Production Assistant to support our operations leaders and teams. The Production Assistant role is responsible for supporting operations leaders and project teams through various administrative and coordinating tasks. This role is based out of Winnipeg, MB. WHAT YOU WILL BE WORKING ON * Monitor and assist with the review and audit of HSE training and certifications, ensuring employee records remain accurate and up to date, and coordinate renewals as required. * Participate in operations meetings, prepare meeting minutes, and track follow-up actions as required. * Review dispatch, commencement, and onboarding documentation to ensure accuracy and completeness. * Assist with the onboarding of office and site employees. * Serve as a resource for craft employees, responding to inquiries related to payroll, contact information updates, employment records, and other administrative matters. * Maintain employee files and personnel documentation, ensuring records are accurate, complete, and compliant. * Assist with processing employee status changes, transfers, and exits. * Assist with resource and workforce planning and tracking, supporting project staffing requirements. * Assist with payroll administration, timekeeping reviews, timesheet processing, and employee payroll inquiries. * Maintain data integrity within HRIS and workforce planning systems. * Prepare, maintain, and distribute reports and workforce data for operations leaders. * Support recruitment activities, including career fairs, community partnerships, interview coordination, candidate communications, and onboarding preparation. * Assist in coordinating employee events, recognition programs, service awards, announcements, and internal communications. * Provide administrative support to project and operations teams, including document management, correspondence, and reporting. * Assist with the preparation of presentations and other business materials. * Perform other related duties as assigned. WHAT WE ARE LOOKING FOR * A combination of education and experience in both administration and trades will be considered. * Experience in a construction, industrial, or project-based environment, is considered an asset. * Previous experience in administrative, operations, workforce coordination, project support, or human resources, role in the construction industry is an asset. * Experience working with unions is considered an asset. * Strong understanding of construction site operations, workforce logistics, and craft workforce requirements is preferred. * Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. * Experience with HRIS, payroll, workforce management, or project management systems is considered an asset. * Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. * Excellent interpersonal, customer service, and communication skills, with the ability to build effective working relationships with office and field personnel. * Demonstrated attention to detail and commitment to maintaining accurate records and data. * Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
