Administrative Assistant In your role, you will: Provide confidential administrative support to the Directors Accomplish complex administrative tasks, which require a thorough comprehension of the business activities and practices. Manage situations or solve ambiguous problems requiring a good judgment. Manage and follow day-to-day activities and files. Manage agenda & coordinate meetings, appointments, and reservations. Produce letters, documents, presentations, reports and graphics that require an extended knowledge of several office software. Compile and update data for various reports on the department activities (labor, key performance indicator, dashboard, etc.). Recommend process improvements. Ensure that the files are up to date, verify and approve the current service expenses and update financial documents. See that requirements and internal guidelines are respected. Take responsibility for certain projects, including support for plant operations See to the filing system and document management. Filter incoming calls and follow up on various information requests pertaining to the department. Order various office supplies related to the teams Create and follow-uup purchase orders for various suppliers Provide support for various requests related to the production line Prepare and follow-up unionized labors in various software systems How to thrive in this role? As our ideal candidate, You have a college Diploma in office management or the equivalent. You have minimum three (3) years of relevant experience. You are result orientated and able to work with minimum supervision. You are able to work well under pressure and able to multi-task in a fast-paced while keeping a positive and proactive attitude. You have extended knowledge of computer applications, word processing, spreadsheet, database, and presentation software. You are fully bilingual, English and French, spoken and written.
