About This Role We are in search of a File Opening Clerk to join our Accounting team providing support across the Firm by opening new client files, ensuring that accuracy and compliance standards are met, and providing additional support to other members of the Accounting team. This position connects with Lawyers and Staff and is a great opportunity to learn about many different aspects of the business. The ideal candidate has excellent attention to detail, organization and prioritization skills, but is above all a positive and effective communicator enthusiastic about contributing to a collaborative culture. This is a fully in-office position reporting to the Accounting Manager. Though the work will be entirely in English, it is always considered an asset if candidates understand or can communicate in additional languages. Key Responsibilities File Opening: Complete thorough and accurate conflict checks. Create and manage new legal files in the Firm’s document management system, prioritizing urgent requests and opening all other files in a timely manner. Ensure accuracy of client and file information upon file opening, identify incomplete information, and research or request missing information as needed. Collaborate with Lawyers and Staff to gather required documentation. Monitor and resolve discrepancies or issues related to file openings. Assist with periodic audits and reporting related to client file data. General Financial Support: Process wires, ensuring the information is complete and entered into the bank and our document management system. Verify daily deposit of cheques. Assist with additional reporting and year-end closing activities as directed by the Accounting Manager. Handle and assist with general accounting inquiries from internal and external parties. Provide coverage for other members of the Accounting team as required. Culture & Engagement: Participate in, and contribute to training initiatives within the team. What You Bring Experience: Prior experience in administrative roles or file management. Experience with basic accounting functions and/or working in a legal professional setting considered an asset. Skills: Excellent attention to detail, organization, and prioritization skills, with the ability to effectively communicate and collaborate with a variety of people. Mindset: A team player with a positive approach, self-motivation, and the ability to work independently.
