PURPOSE OF POSITION The Human Resources Administrative Coordinator provides administrative support to the Human Resources department in areas including recruitment, group pension plan, benefit plan, payroll notices, etc as well as managing the Human Resources Information System. This position helps to support a positive work environment and acts as a first point of contact for employees who have questions or concerns. STATEMENT OF MAJOR RESPONSIBILITIES To maintain and update all data contained within the Human Resources Information System (HRIS). Assist with recruitment by posting job opportunities; completing telephone screens; booking interviews; acting as backup on interview panel (as needed) and conducting references. Administer onboarding tasks including conducting orientation for new staff or those changing positions within the organization. Assist with Health and Safety duties including booking, attending meetings and taking and distributing minutes for the Joint Health and Safety Committee. Maintain a schedule of Health and Safety Inspections throughout the organization. Update Health and Safety Board, as required. Compliance and Policy Support: Assisting with HR audits, maintaining required documentation. Produce reports (time off, attendance, headcount) using HRIS. Track mandatory and voluntary training in (HRIS), utilizing reports. Maintain Human Resources records such as policy and procedure acknowledgements, salary grids, organization chart and seniority list. Provide support with labour relations matters, as required. Assist with the updating and formatting of HR forms and job descriptions. Process the employee group benefits documentation by: processing enrolment forms for new members and changes forms for current members in the plan i.e. salary adjustments, beneficiary changes, etc; termination of members. Send pension enrolment documents to eligible staff. Ensure completion of application form through online portal and submit information to Payroll. Provide documentation to Finance Department regarding new hires, terminations, salary and position changes, etc. Process all Payroll Change Forms each payroll cycle. Maintain the Payroll Summary Document on an ongoing basis. Work with HR Department to maintain and update the HR Summary on an ongoing basis. Review benefits statement each month for accuracy; report inaccuracies with benefit provider. Prepare Form 7 and submit to pension plan carrier. Annually prepare submission of forms and documents using the Annual Information Return and financial statements received from the pension plan carrier and submit to Financial Services Regulatory Authority of Ontario. Additional duties, as assigned, and special projects.
