The term is for two (2) months, with the possibility of an extension. Job Position: The following job description reflects the general details considered necessary to describe the principal functions of the position identified and shall not be construed as a detailed description of all the work requirements that may be inherent in such classification. Position Summary: Responsible for notices, commenting, processing of development applications and pre consultation. This position also acts as backup for the Secretary Treasurer of the Committee of Adjustment and the Planning Clerk. Responsible For: Intake and processing of all planning applications using Cityview software. Review applications to determine completeness and ensure the correct fees have been paid. Create and distribute public notices, advertisements, etc. for applications, meetings and events and create location maps using the Cityview software. Ensures all documents are AODA compliant. Coordinates newspaper publications with the Communications Officer. Track and process all security deposits for site plan applications, as assigned. Process minor planning applications under the Planning Act. Comment on all easements, land sales and other related internal departmental circulations as assigned. Post all public notices on the City website and ensures all documents are AODA compliant. Coordinate the intake and payment of pre-consultation applications program including but not limited to scheduling of the bi-monthly meeting with applicants/developers and commenting stakeholders, preparing agreements etc. Assist Department staff with research, background information and special projects as assigned. Update the website as required for the Planning department. Updates fees in Cityview for all application types. Assist with the maintenance of the procedural manual. Take minutes and attends meetings involving the public and/or appointed committees, as required. Attend public open houses, public sessions and other evening and weekend meetings as required. Provide back-up when necessary for front line customer service staff regarding inquiries concerning Planning, Building and Development and directing to the appropriate staff liaison. Provide back-up when necessary for the Secretary Treasurer of Committee of Adjustment Other duties as assigned. Position Requirements: Minimum is a diploma in Planning (Planning Technician, Geography, Urban Studies etc.). Minimum one (1) year of previous planning experience considered an asset. An equivalent combination of education and experience may be considered. Sound knowledge of Ontario Planning legislation and Provincial policies. Ability to accurately read and interpret construction drawings, surveys, legal descriptions, and legal documents. Ability to interpret and understand real estate property documents such as deeds, easements agreements. Excellent organizational, mathematical and time management skills required for applications processed under the Planning Act. Excellent communication and interpersonal skills that foster positive public/municipal working relationships, and ability to interact and engage effectively with municipal staff, developers, consultants, residents, businesses, and other government agencies. Excellent analytical and problem-solving skills with the ability to act with integrity and discretion during the handling of confidential materials, in meetings and other settings. Intermediate skills in current application processing software and other software programs and applications utilized by the department, including CityView, Microsoft Office (Outlook, PowerPoint, Word & Excel), GIS, Adobe, Laserfiche, etc Ability to work under tight deadlines involving multiple projects and demands at any one time. Considered Assets: Membership with the Ontario Professional Planners’ Institute or the Canadian Association of certified Planning Technicians. AMCTO Municipal Administration Program’s Primer on Planning Course. Working Conditions: Standard office environment Equipment And Tools Used: General office equipment and applicable software.
