As an Inside Sales Equipment Administrator, you will be responsible for providing essential administrative support to our Equipment Department. You will play a key role in ensuring efficient operations by supporting sales managers and the sales team through a variety of tasks, from quoting and sales order entry to inventory management and invoicing. We are looking for someone with excellent communication and organizational skills who thrives in a fast-paced environment and is motivated to achieve the best results for the organization. Key Responsibilities Quoting Generate accurate quotes for customers and sales representatives by gathering all necessary information. Liaise with suppliers to obtain product pricing, verify product applications, and confirm availability. Calculate and ensure correct profit margins, including any applicable discounts. Coordinate with suppliers and freight services to determine and confirm delivery and installation costs. Confirm and apply the correct exchange rate for USD to CDN pricing. Ensure all quotes are properly formatted with necessary disclaimers and information. Order and Database Management Create and maintain accurate part numbers, pricing, and product information in the computer system, including artwork and manuals. Enter sales orders into the system with all specific details, such as colour, accessories, and power requirements. Generate purchase orders promptly and accurately, supplying all pertinent information to suppliers. Manage open purchase orders weekly and maintain back orders by producing daily reports. Invoicing and Receiving Receive products into our "virtual" warehouse and cross-reference customer quotes with purchase orders to ensure accuracy. Create and process accurate customer invoices. Work closely with the accounting department to ensure timely payment of equipment invoices. Administrative Support Provide proactive and resourceful support to the Equipment Department in a dynamic and fast-paced setting. Communicate effectively with internal teams and external suppliers via phone and email. Maintain accurate and up-to-date PDF catalogs, brochures, and website pricing. Problem-solve to find creative solutions as issues arise, prioritizing customer service. Qualifications and Skills Strong attention to detail and excellent time management and organizational skills. Proficiency in Microsoft Office, with an emphasis on Excel and Word. Ability to learn new software and systems quickly. Excellent listening and communication skills with the ability to build strong working relationships. Strong resourcefulness and the ability to work autonomously. Knowledge of inventory management is a plus. Experience working in the equipment industry is considered an asset. A university degree is strongly recommended.
