Job Summary The Faculty of Dentistry (FoD) operates state-of-the-art general and specialty clinics, which are an integral part of our educational programs. More than 100 dentists and dental hygienists support 167 dentistry students and 64 dental hygiene students in our clinics. Our 3,600 alumni live and work all over the world, the majority of whom remain in contact with the Faculty. Reporting to the Manager, Alumni & Student Engagement, and supporting the Admissions Facilitator, the Dean’s Office Receptionist will coordinate admissions activities, supports faculty events and initiatives, delivers front-line reception services, and assists with administrative operations across the Faculty. Key Responsibilities Provide front-line reception and administrative support for the Admissions and Dean’s Offices, serving as the primary point of contact for applicants, students, visitors, and faculty members; responding to inquiries, maintaining confidential records and correspondence, and coordinating office services and administrative activities. Coordinate admissions processes by scheduling meetings, interviews, information sessions, and recruitment activities, and preparing agendas, materials, minutes, and supporting documentation. Maintain and monitor applicant files, databases, and admission records, tracking required documentation and assisting with the preparation of reports, statistics, and admissions-related communications. Support student recruitment, admissions, and onboarding initiatives, including interview coordination, orientation activities, information sessions, and special events. Provide administrative support for alumni and student engagement activities, coordinating donor recognition, bursary acknowledgements, event logistics, registrations, communications, and special faculty events. Note Due to operational requirements, the successful applicant is required to work in-person on campus. Required Qualifications Business/office administration program with a minimum of two years of related experience (or equivalent combination of training and experience). Excellent communication, organization, and interpersonal skills. Attention to detail and ability to multi-task. Sound judgement and confidentiality. Proficiency in MS Office (Word, Access and Excel). Assets Experience in an educational or health-related/professional institution.
