Job Summary The Maintenance Coordinator is responsible for maintaining maintenance data and records, including assets, preventative maintenance programs, work orders, labour, projects, and inventory, while producing operational and cost-related reports. This role coordinates maintenance activities by sourcing parts, scheduling contractors, supporting safety initiatives, tracking corrective actions, and following up on maintenance work to ensure the efficient execution of maintenance operations. Duties and Responsibilities * Maintains and administers maintenance data and records within Maintenance Connection, including assets, preventative maintenance programs, work orders, inventory, capital projects, trades, employees, and supporting documentation. * Maintains system configuration and user access, including shops, companies, accounts, categories, classifications, membership groups, and employee profiles. * Generates, analyzes, and distributes maintenance and operational reports, including capital hours, equipment hours, inventory, training, cost, and open work order reports. * Coordinates with Maintenance and Plant Management to address system changes, operational issues, and continuous improvement initiatives. * Works closely with Accounting on capital projects, inventory reconciliation, month-end processes, purchase orders, and invoice administration. * Ensures training records are accurately maintained and uploaded within Maintenance Connection. * Coordinates contractor administration, including collection of insurance certificates, completion of required documentation, and submission of records to Head Office. * Collaborates with internal stakeholders to maintain training materials, troubleshoot system issues, and support process improvements within Maintenance Connection. * Records and distributes meeting minutes for monthly production meetings. * Performs other related duties as assigned. Knowledge, Skills, and Abilities * Completion of a Business Administration Certificate or a related discipline, combined with 1-3 years of experience in an administrative or site office environment. An equivalent combination of education and experience will be considered. * Experience using Maintenance Connection (CMMS) is considered a strong asset. * Strong organizational skills with a high level of accuracy and attention to detail. * Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook. * Excellent interpersonal, communication, and relationship-building skills. * Ability to work effectively in a fast-paced site environment and manage multiple competing priorities. * Ability to work in an operational plant setting and travel throughout the site in all seasons as required. Work Environment * Work is performed primarily in a site office environment with regular interaction with maintenance, operations, and contractor personnel. * Occasional physical effort may be required when handling maintenance records, supplies, or equipment components. * Requires a high level of attention to detail to ensure the accuracy of maintenance data, reports, inventory records, and documentation. * Frequent use of computers and maintenance management software to enter, analyze, and maintain information. * Ability to move throughout the plant site and work outdoors in varying weather and seasonal conditions as required. * Must be able to manage competing priorities and respond effectively during periods of high workload, equipment breakdowns, or site emergencies. * Requires the ability to maintain focus and accuracy while working in a fast-paced operational environment.
