Job summary
An Administrative Assistant keeps an office running smoothly. You’re the support hub for managers, teams, and clients — handling organization, communication, and day-to-day operations. Core Duties Office Management Answer and direct phone calls, emails, and messages Greet visitors and manage reception/front desk Maintain office supplies, equipment, and order new items Schedule meetings, book conference rooms, and arrange travel Administrative Support Prepare, edit, and format documents: reports, presentations, memos, letters Manage calendars for executives/managers and coordinate schedules Take meeting minutes and distribute action items Handle confidential information with discretion Data & Records Organize and maintain physical + digital files and databases Data entry, updating spreadsheets, and generating basic reports Track budgets, invoices, expenses, and process paperwork Communication & Coordination Act as liaison between departments, clients, and vendors Draft and send correspondence on behalf of management Coordinate events, team meetings, and office announcements Key Skills Needed Organization: Juggling multiple tasks and deadlines Communication: Professional email, phone, and in-person etiquette Tech: MS Office/Google Workspace, Excel, PowerPoint, scheduling tools, CRM systems
