The Role: You will assist in building out and maintaining databases for the purpose of better serving our extensive list of Canadian schools. We are not necessarily looking for candidates with office experience; if you feel you’re the best at what you do, whatever you’re doing, we want to hear from you. What You Will Focus On Using proprietary software to update and maintain multiple databases Monitor and respond to our in-house job tracking system Escalate inconsistencies to your supervisor or manager Other duties as assigned What We’re Looking For Entry level position (seasonal role, with an eye towards joining the full-time team) Detail oriented individual with a strong work ethic and commitment to accuracy Intermediate computer skills Proficient in problem solving and decision making Excellent organizational and communication skills Able to work both independently and as part of a team Must be legally authorized to work in Canada Interdepartmental Work: As a Data Assistant, you will be trained in one of our Pre-Production departments; if you are successful, you may be asked to join the full-time team and be trained across multiple departments so that your skills can be better utilized. Data Entry Perform day to day data entry tasks Ensure proper archiving/storage of data Respond to interdepartmental emails/communications Identify inconsistencies within the database and utilize image data and customer information to correct accordingly Ensure deadlines are met, and jobs are completed in a timely, efficient manner PreJob Examine, clean, and load data to internal databases Produce job bags and database USBs in a timely manner based on photography schedule Correspond daily with internal departments (Customer Care, Post-Job, Territory Managers) Work with production and shipping to ensure camera cards are printed, cut and job bags shipped according to schedule Update subject data if new file is provided Services Compile, generate, and send to print all school service products based on specifications provided by schools Utilize the Adobe Creative Suite to design ID products for schools upon request Operate department ID printer as necessary Add student information system files to the online content portal for simple school retrieval Work with adjacent departments and production staff to ensure due dates for printing, packaging, and shipping are met Composite Design/Communication Design Class, Graduation, and Staff Member composites as posted Correspond with school admin, territory managers and internal management to obtain design corrections and print approval Work with internal departments to send approved composites to production A background in Photoshop would be useful for the design portion of this position, while the ability to communicate clearly, efficiently, and in a team dynamic would be useful for the communications portion Hours of Work: Monday to Friday, 40 hours per week What’s in it for you?
