SUMMARY A private estate located on Lake Joseph in Muskoka is seeking an accomplished Estate Manager to oversee the year-round management and operation of an exceptional waterfront property. This position is suited to an experienced private service professional who combines outstanding leadership abilities with a hands-on management approach and a genuine commitment to service excellence. The successful candidate will ensure the seamless operation of the estate while maintaining the highest standards of hospitality, property care, staff leadership, and discretion. Working closely with the property owners and family office, the Estate Manager will coordinate all aspects of the residence, supervise household staff, oversee vendors and contractors, manage budgets, and ensure an exceptional experience for the principals and their guests. KEY RESPONSIBILITIES Estate Operations Oversee the daily operation of the estate, ensuring all residences, guest accommodation, waterfront facilities, and surrounding grounds are maintained to exceptional standards. Establish and maintain efficient operational procedures and household standards. Coordinate all household operations to ensure the property functions seamlessly throughout the year. Anticipate operational requirements and proactively resolve issues before they arise. Maintain absolute discretion and confidentiality regarding all family matters. Staff Leadership Lead, supervise, mentor, and support the household management team. Recruit, onboard, train, schedule, and evaluate permanent and seasonal employees. Foster a positive, service-oriented culture built on professionalism, accountability, and teamwork. Coordinate staffing requirements during holidays, special events, and peak occupancy periods. Ensure appropriate staff coverage while respecting employee scheduling and operational priorities. Financial & Administrative Management Develop and monitor annual operating budgets and forecasts. Review expenditures, invoices, procurement requests, and vendor agreements. Maintain detailed operational records, inventories, maintenance schedules, and reporting documentation. Identify opportunities to improve operational efficiency while preserving the long-term value of the estate. Property & Project Management Oversee preventative maintenance programs for all residences, mechanical systems, vehicles, marine equipment, docks, and landscaped grounds. Coordinate external contractors, consultants, and specialized service providers. Supervise renovation and capital improvement projects to ensure completion on schedule, within budget, and to the expected quality standards. Assist with long-term planning for future property improvements. Hospitality & Guest Experience Ensure an exceptional experience for the principals, family members, and guests. Collaborate closely with the culinary and household service teams to deliver refined hospitality. Anticipate personal preferences and household routines while maintaining an unobtrusive and service-focused presence. Support special events, family gatherings, and seasonal entertaining as required. QUALIFICATIONS & REQUIREMENTS Minimum of seven years of experience managing a private estate, ultra-high-net-worth residence, luxury hospitality property, private yacht, or comparable environment. Demonstrated experience leading multidisciplinary household or estate teams. Strong financial management, organizational, and project management skills. Exceptional leadership, interpersonal, and communication abilities. Ability to exercise sound judgment while maintaining the highest level of discretion and confidentiality. Excellent problem-solving skills with a proactive approach to estate management. Valid driver's licence required. Pleasure Craft Operator Card and previous marine operations experience are considered strong assets. Flexibility to work evenings, weekends, holidays, and seasonal schedules based on the family's needs.
