Job summary

What is the Opportunity? As a Proposal Specialist, you will lead and assist in the management, production, coordination, and development of proposals and credential packages that support the firm’s growth and strategic efforts. Working closely with Entuitive’s Leadership team and technical experts, the Proposal Specialist will ensure consistency of materials and messaging across all markets while elevating the firm’s brand. This role will ensure all work is carried out in full support of Entuitive’s Vision, Mission, Values and One Company culture. Entuitive is seeking a highly motivated Proposal Specialist based in Calgary. What will you do? Manage and coordinate the proposal process from start to finish to ensure top-quality, competitive, and winning response to comprehensive RFPs, RFIs, RFQs, RFSOs and related documents. Lead the RFP review process, including reviewing RFP requirements and identifying potential red flags, establishing a proposal checklist outlining deliverables, responsibilities, and submission timelines and identifying questions for the client. Manage the bid kick-off and proposal planning session, ensuring that all key proposal stakeholders are represented and well-informed. Write and edit thoughtful, tailored narratives focused on meeting or exceeding the client and/or project’s requirements. Participate in strategy discussions and win themes for high profile proposals. Monitor progress of the proposal process with timely follow-up to ensure internal proposal deadlines are being met. Draft, edit, assemble, and review proposal copy for compliance, accuracy, and content, and coordinate / participate in review sessions with team members to ensure the integrity of all documents. Participate in the development, maintenance and coordination of content, tools, and templates for ongoing improvement in proposal management. Conduct debriefs with clients. Stay abreast of marketing best practices, market and industry trends, companies, and competitors to support decisions with respect to marketing and business development initiatives. Mentor of junior staff as needed. Other duties as assigned. What do you need to succeed? Diploma or degree (preferred: Business, Marketing, Communications, English). A minimum of 5 years of experience working within a proposal or BD team is required. Experience working in the Architecture, Construction, or Engineering (AEC) industry is an asset. All other professional service experience will still be considered. Proficiency in Adobe InDesign is a must. Working knowledge of Adobe Creative Suite is an asset. Experience preparing responses to RFP/RFIs and working with technical subject matter experts to develop written content Exceptional writing, editing and proofreading skills. Ability to effectively deliver quality work with a sense of urgency and a high degree of attention to detail. Strong project management and time management skills, with the ability to manage tight deadlines and competing priorities. Good judgment and problem-solving skills with the ability to work in a team environment. Stellar client service skills along with the ability to communicate effectively (verbal and written) with individuals at all levels of the organization, as well as external parties. Ability to effectively deliver quality work under tight deadlines and a high degree of attention to detail. Flexible and open to changing priorities and managing multiple tasks. Ability to work Overtime if needed. We work hard to maintain a good work-life balance, but overtime may be needed on specific submissions or busy periods. Able to have fun and love their work!
