Administrative Assistant (Accounting Firm) Milton, Ontario | Full-Time | In-Office $60,000 - $65,000 + Benefits Our client, a well-established and growing CPA firm in Milton, is seeking a professional, organized, and detail-oriented Administrative Assistant to support both the firm's accounting team and senior leadership. This is an excellent opportunity for someone who enjoys working in a professional services environment and thrives in a fast-paced office setting. The successful candidate will play a key role in keeping the office running smoothly, coordinating client communications, managing administrative processes, and providing executive support to the firm's partners. What You'll Be Doing Administrative & Executive Support Manage calendars, appointments, and meeting schedules for partners and senior staff. Coordinate client meetings, conference calls, and office events. Prepare engagement letters, client correspondence, reports, and presentations. Screen, prioritize, and respond to emails and phone inquiries. Maintain electronic and physical filing systems. Assist with document preparation, scanning, and organization for client files. Coordinate office supplies, vendor relationships, and general office administration. Support partners with travel arrangements, expense reporting, and special projects. Client & Accounting Administration Serve as the first point of contact for clients, providing exceptional customer service. Assist with onboarding new clients and maintaining client records. Track engagement deadlines and assist with workflow coordination. Prepare and distribute tax organizers, engagement packages, and client documentation. Collect and organize information required for tax filings and financial statements. Assist with billing, invoicing, accounts receivable follow-up, and payment processing. Coordinate document signatures and CRA correspondence. Support the accounting team during busy tax and year-end periods. What We're Looking For 2+ years of administrative experience, preferably within a CPA firm, accounting firm, law firm, or professional services environment. Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent verbal and written communication skills. Proficiency with Microsoft Office (Outlook, Word, Excel, Teams). Experience with accounting or practice management software is considered an asset.
