Role Description We are seeking an enthusiastic, results-driven, and highly organized Controller to lead our property accounting division and oversee day-to-day financial operations across a diverse, multi-entity portfolio. Reporting directly to the Vice President, Accounting and Asset Management, the Controller will provide both technical and managerial leadership across all asset classes under management, including condominium, multi-family residential, and commercial properties. An active CPA designation is required. Key Responsibilities Financial Reporting: Compliance, Clarity & Stewardship Lead and streamline full-cycle monthly and quarterly financial statement preparation across all property entities, ensuring 100% on-time delivery in compliance with CPA standards, management agreements, and applicable framework requirements. Oversee the accurate and timely preparation, filing, and payout of all statutory government remittances (e.g., GST/HST/PST and corporate withholdings). Deliver crystal-clear, accurate, and insightful financial packages to property owners, board members, and internal executive leadership. Banking, Trust Funds & Transactional Governance Manage overall banking setups, direct transfers, wire transactions, and user permissions across all property and corporate accounts. Provide executive oversight over EFT, PAD (Pre-Authorized Payment), and online payment workflows for accounts receivable and accounts payable functions. Oversee monthly bank reconciliations for all property trust accounts, ensuring absolute accuracy, zero ledger deficiencies, and statutory compliance. Audit Coordination & Statutory Compliance Lead the annual audit process for all condominium corporations under management, serving as the primary bridge between external CPA audit firms and the accounting department. Coordinate and execute client-specific financial reviews and third-party owner audits as required. Direct and manage the preparation for mandatory real estate brokerage trust account audits (e.g., RECA compliance), ensuring seamless reporting and total regulatory adherence. Financial Analysis & Strategic Decision Support Oversee complex reserve fund tracking, capital reserve drawdowns, and special assessment accounting across condominium portfolios. Direct the annual Common Area Maintenance (CAM) and Extraordinary Common Recovery (ECR) reconciliation processes for commercial tenants within tight lease-mandated deadlines. Partner with asset managers, property managers, and owners to support and finalize annual operating and capital expenditure budgets. Internal Controls & Operational Efficiency Establish, maintain, and audit robust internal control procedures to safeguard corporate and property assets while ensuring full regulatory compliance. Oversee the Accounts Payable department with a sharp focus on operational efficiency, maintaining vendor aging under 30 days. Continuously leverage real estate technology to automate manual processes, cut reporting cycle times, and handle portfolio growth without sacrificing quality. Team Leadership & Mentorship Form, train, mentor, and manage a high-performing property accounting team, fostering a culture of accountability, enthusiasm, and excellence. Effectively delegate tasks, manage portfolio assignments, and ensure team members meet strict monthly reporting deadlines. Conduct regular 1-on-1 check-ins and performance evaluations to support staff career growth and address operational bottlenecks promptly Qualifications and Skills Active Chartered Professional Accountant (CPA) designation is mandatory. Minimum of 7+ years of progressive accounting experience in real estate or property management, with at least 4 years in a managerial or supervisory role. Proven background managing financial operations for condominium, residential, and commercial real estate asset classes. Outstanding energy, enthusiastic leadership style, and a proven track record of handling high volume and hitting tight deliverables. High proficiency with industry-standard property management accounting software (e.g., Yardi, RealPage, AppFolio, or MRI) and advanced Microsoft Excel skills. Excellent written and verbal communication skills with the ability to explain complex financial data clearly to property owners, board members, and non-financial team members.
