What We Do The Transition Specialist plays a key role in supporting Financial Advisors and their teams through onboarding and transition activities. This position is responsible for coordinating administrative tasks, managing timelines and checklists, and tracking key milestones to ensure transitions are completed accurately and on time. Working closely with the Manager, Wealth Management Transitions, and the broader transition team, the Transition Specialist independently manages assigned deliverables while ensuring alignment across Advisors, Associates, and internal partners. This role is well-suited for a detail-oriented and highly organized individual who thrives in a fast-paced environment, manages multiple priorities effectively, and delivers consistent, high-quality execution. How You’ll Make an Impact Transition Coordination and Execution Coordinate administrative components of advisor transactions, including onboarding requirements and operational setup Execute assigned transition tasks and checklists with a high level of accuracy and timeliness Partner with the Manager, Wealth Management Transitions, and the transition team to align on priorities, timelines, and deliverables Provide on-site and/or remote support during transitions, including assistance with client communications, tools, workflows, and training as needed Stakeholder Relationship Management Develop and maintain effective working relationships with Advisors, Associates, and internal business partners to support successful transitions Build credibility and trust Coordinate across multiple functional areas to align priorities Escalate complex issues Support the delivery of a positive advisor experience by managing expectations and addressing concerns throughout the transition lifecycle. Milestone Tracking and Deadline Management Maintain and update tracking tools to monitor key milestones, deliverables, and deadlines Proactively follow up with internal teams to drive timely completion of tasks Ensure all transition activities are completed within defined service expectations and timelines Identify potential delays or risks and escalate to the Manager or team as appropriate Process Improvement and Tool Development Contribute to the development and refinement of transition workflows and processes Support the creation and enhancement of templates, trackers, and reporting tools to improve team efficiency and automation opportunities Participate in initiatives that increase scalability, consistency, and effectiveness across transitions Conduct root cause analysis to identify process gaps and bring forward ideas to improve the transition experience for Advisors and clients What You’ll Need Strong organizational skills and attention to detail Ability to navigate competing stakeholder priorities in a fast-paced environment Foundational knowledge of wealth management operations and client onboarding processes Excellent interpersonal skills Strong communication skills, with the ability to work with advisors, associates, and internal teams What We’re Looking For 3-5 years of experience in wealth management operations, advisor onboarding, practice management support, transition management, or project coordination required Investment Representative (IR) Licensing with CIRO, or progressing towards completion required University Degree in a Business, Commerce, Finance or related field required, or equivalent work experience Experience in the wealth industry required, preferably in advisor operations, onboarding, or coordination Experience managing administrative workflows, tracking deliverables, or supporting projects required Experience with transition or onboarding processes are an asset Familiarity with systems such as Broadridge/Dataphile/CRM/Workflow Tracking Systems are an asset Microsoft 365 proficiency is an asset Total Rewards That Reflect Your Impact We believe exceptional work deserves exceptional recognition. For this role, your total rewards include: Base Salary and Discretionary Performance Bonus: Total annual cash compensation (base salary plus target bonus) ranges from $73,000 to $90,000, based on your experience and qualifications.
