ROLE OVERVIEW Provide administrative support to the Human Resources Department with a high level of organization, coordination, and confidentiality. This role requires the ability to multitask, prioritize, and meet required deadlines. CORE RESPONSIBILITIES * Maintain accurate employee files and update information in Avanti HRIS. * Support the planning and coordination of company-sponsored events, quarterly meetings, and related activities. * Greet employees and visitors entering the administration office, direct them as needed, and provide general assistance. * Administer the employee coverall and safety boot programs. * Generate and distribute vacation hours, lieu days, and Family Responsibility Days reports to Foremen. * Administer the company benefits program, including coordinating employee benefits enrolment and terminations. * Prepare and issue letters, memos and announcements including: * Employment verification letters * Notifications to the Union * Promotion and New Hire Announcements * Serve as the primary contact for charter bus services, ensuring routes remain accurate and any issues are addressed promptly. * Coordinate company housing, including preparing accommodations for new tenants, arranging cleaning services, and coordinating property maintenance. * Coordinate meetings and catering services as required. * Process invoices by ensuring appropriate coding and submitting them to Accounts Payable for timely payment. * Assist and support other members within the HR department. EDUCATION & EXPERIENCE * High School Diploma or equivalent. * Administrative Assistant Certificate and/or Post-secondary business coursework is considered an asset. * At least two years’ experience in an intermediate-level administrative support role. * Experience working with Human Resources Information Systems (HRIS). SKILLS & COMPETENCIES * Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook). * Excellent filing and document management skills. * Strong verbal and written communication skills. * Ability to maintain accuracy and pay close attention to detail. * Possess and maintain a valid driver’s license.
