Reporting to the Associate Director of Clinical Operations, you serve as the first point of contact for appointment booking, questions, and feedback, leading with compassion and always seeking client-centred solutions. You are an integral part of the care team, working collaboratively with clinical colleagues to ensure every client feels informed, valued, and cared for throughout their entire healthcare journey. Responsibilities: Client Relations & Communication: Respond promptly to client communications including emails, phone calls, and in-person inquiries. Triage urgent requests with the highest level of professionalism and compassion. Build genuine, personalized relationships with clients to make every interaction feel welcoming and valued. Scheduling & Care Coordination: Schedule client appointments including general visits and health assessments, and communicate appointment details clearly. Organize care team schedules to ensure a smooth, efficient, and stress-free experience for clients and colleagues alike. Administrative Support: Perform a variety of administrative tasks including coordinating prescriptions, processing referrals to specialists, and reviewing e-faxes accurately and in a timely manner. Team Collaboration: Work in close partnership with the Family Physician and clinical team to ensure every client feels supported and well cared for. Use collaborative tools and strategies to streamline care coordination and keep the team aligned. Client Experience & Standards: Maintain high standards in every aspect of operations and client experience. Ensure every client feels valued and supported throughout their journey, and embody Harrison’s values of compassion, innovation, and excellence in every interaction. Continuous Improvement: Foster ongoing learning and skill development. Utilize new tools and methodologies to identify opportunities to optimize workflows and enhance the overall client experience. Experience you Bring & Qualifications: Medical Office Assistant diploma from an accredited institution, or equivalent education and experience. Minimum 1 year of experience as a Medical Office Assistant in primary healthcare or equivalent. Excellent interpersonal, written, and oral communication skills with a natural ability to connect and engage with clients. Proven ability to effectively prioritize workflow and multi-task in a high-volume, professional setting. Passionate about creating memorable client interactions and delivering personalized care. Comfortable with ambiguity and flexible with the evolving needs of the clinic and team. Experience using an electronic medical record (EMR) system and/or Microsoft 365 considered an asset.
