Contracts and Safety Specialist 3 Month Contact- Potential extension or perm Calgary or Toronto- Hybrid (2 days in office) $28- $30 hourly Responsibilities Coordinate and maintain Master Subcontract Agreements and related documentation. Track and manage subcontractor compliance requirements, including insurance certificates, workers' compensation documentation, bonds, and other contractual obligations. Maintain third-party compliance platforms and contractor management systems. Upload contracts for legal review and approval. Review contract and RFP requirements to obtain required insurance certificates and bonds. Monitor subcontractor documentation to ensure ongoing compliance with company policies and contractual obligations. Maintain and track business licenses and renewals across all locations. Compile, track, and report monthly and quarterly safety statistics and incident summaries. Coordinate and schedule safety, trade, and product training programs. Maintain employee training records, certifications, and renewal requirements. Support compliance with applicable health, safety, and regulatory requirements. Ensure safety records and documentation are accurate, current, and audit-ready. Maintain accurate records, databases, and filing systems. Respond promptly and professionally to inquiries from employees, customers, subcontractors, and vendors. Enter and maintain reporting data in compliance and safety management systems. Collaborate with Legal, Operations, Finance, and Safety teams to support business objectives. Deliver exceptional customer service to internal and external stakeholders. Develop and maintain positive working relationships with colleagues, subcontractors, and customers. Participate in continuous improvement initiatives and perform other duties as assigned. Qualifications Education Diploma in Business Administration, Accounting, Legal Administration, or a related field preferred. Contract Management Certification or related designation is considered an asset. Equivalent combination of education and relevant experience may be considered. Experience Minimum of 2 years of contract administration experience. Minimum of 1 year of experience in a construction, facilities management, or related environment. Experience with contract management, compliance, and safety administration systems is an asset. Skills & Competencies Strong organizational and time management skills. Exceptional attention to detail and accuracy. Excellent verbal and written communication skills. Strong interpersonal and customer service skills. Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Working knowledge of contracts, liens, insurance requirements, bonds, and compliance processes. Basic understanding of accounting and accounts receivable principles. Ability to manage multiple priorities in a fast-paced environment. Strong teamwork and collaboration skills. Adaptability and flexibility to changing priorities and business needs.
