About the Role This is a full-time Executive Assistant role supporting the CEO across the full range of what keeps the office running — inbox and calendar, client follow-up, sales pipeline administration, and marketing support. The CEO owns sales and marketing at Henley; you'll be the person who makes sure nothing on that side falls through the cracks — scheduling and posting content, tracking campaigns, prepping materials — while he stays the one driving the relationships and the strategy. This is a broad, hands-on role for someone who wants to be genuinely useful across the business, not confined to a narrow lane. What You'll Own • Inbox and calendar management for the CEO • Client follow-up cadence — scheduled touchpoints across the sales pipeline and active jobs • Sales pipeline administration and CRM upkeep • Marketing support — scheduling and posting content, tracking campaigns, prepping materials, under the CEO's direction • Coordination between design, pre-construction, and construction teams on client-facing scheduling • Drafting communications for CEO review and send • General office and administrative support as needed What You Bring • Highly organized, low-ego, and comfortable owning follow-through without being chased • A go-getter who wants to make themselves genuinely useful — previous EA, coordinator, or admin experience helpful but drive matters more than years • Comfortable picking up marketing/social media tasks — scheduling, posting, light content work — without needing to own the strategy • Excellent written communication — you'll be drafting messages that represent the CEO directly • Proficiency in Outlook / Microsoft 365; CRM and social media scheduling tools are a plus • A solutions-oriented operator who flags a problem with a fix attached, not just a complaint Compensation • Starting base: $58,000–$65,000, based on experience • Room to grow as the role and the company scale • Direct working relationship with ownership — not buried in a large admin pool
What you’ll do
The Executive Assistant will support the CEO by managing their inbox and calendar, ensuring client follow-ups, and assisting with sales and marketing tasks. This role requires coordination between various teams and general office support.
Requirements
Candidates should be highly organized and proactive, with a willingness to take on a variety of tasks. Previous experience as an Executive Assistant or in a similar administrative role is helpful, but drive and initiative are more important.
