EXECUTIVE ASSISTANT TO DESIGN PRINCIPAL (CONTRACT POSITION) We are looking for an experienced Executive Assistant to cover a maternity leave for a 15-month contract position. As the Executive Assistant at Henriquez, you will be a trusted partner to the Design Principal, providing high-level executive and project support. Working closely with the leadership team, you will manage complex schedules, coordinate communications, prepare materials, and help keep key initiatives moving forward. Acting as a central point of coordination between the Design Principal, our project teams, and external stakeholders, you will balance multiple priorities with discretion, professionalism, and attention to detail. Your proactive approach, strong organizational skills, and sound judgment will enable you to thrive in our fast-paced, collaborative, and design-driven environment. The ideal candidate will have at least 3-5 years’ experience with executive level support, preference for experience working in a design-oriented built environment. RESPONSIBILITIES (include but are not limited to): General EA duties Schedule and maintain the Design Principal’s calendar including meeting coordination, liaising with team members to identify materials required, and reviewing and preparing materials. Handle sensitive and confidential business and personal information. Write and edit correspondence including letters, transmittals and emails. Maintain a well-organized filing system that permits easy reference and rapid retrieval of information. Assist in scheduling interviews for traditional media and press. Answer and screen phone calls. Coordinate office and personal travel arrangements. Track and input educational credits. Perform variety of personal tasks as required Work with office administrative team to assist with social events for office. Architectural Projects Weekly review and oversight of all projects including major milestones, and project schedules associated with and/or resulting from the Design Principal’s project meetings; coordinate print and digital materials for meetings. Attend internal and external project meetings where the Design Principal is present and keep meeting notes/minutes, documentation of key follow-up items, major milestones. Coordinate submissions for architectural awards, working alongside the Director of Visual Communications Administrative support for submission of RFPs, working closely with Principals & Director of Visual Communications Support the leadership team with respect to Business Development related administrative support (liaison with consultants, etc.)
