The Conference Services Manager is the primary owner of the guest journey once business has been contracted, serving as the trusted advisor, advocate, and connector who transforms plans into exceptional events. Through genuine care, flawless execution, and a passion for hospitality, this role creates moments that leave a lasting impression and inspire guests to return again and again.Start Date: July 2026 Contract: Permanent Salary: $60,000 to $70,000, dependent on experienceWhat You'll Be DoingKey Responsibilities Client Ownership & Relationship ManagementServe as the primary point of contact for assigned groups and events following contract signatureBuild strong, trusted relationships with clients through proactive communication and personalized serviceGuide clients through all aspects of event planning, including agendas, room setups, menus, AV requirements, and billing expectationsCreate meaningful moments that reflect Rimrock's Culture, Wellness, and Adventure pillarsEnsure clients feel supported, informed, and confident throughout the planning processRespond quickly and professionally to client requests, adapting to changing priorities with flexibility and careDeliver a highly personalized experience that exceeds expectations and fosters long-term loyaltyEvent Planning & ExecutionLead site inspections, planning meetings, and event walkthroughs with confidence and expertiseTranslate client vision into detailed, executable event plansPrepare and manage Banquet Event Orders (BEOs), conference resumes, timelines, and event documentationOversee the successful execution of events, ensuring accuracy, quality, and exceptional guest experiencesRemain present and engaged during key events, proactively resolving issues and making informed decisions in real timeCollaborate closely with operational teams to ensure seamless delivery of all event requirementsApproach each event with creativity, intention, and a genuine desire to create memorable experiencesFinancial Accountability & Revenue OptimizationTake ownership of the financial success of assigned groups and eventsEnsure accurate pricing, billing structures, and contracted inclusions are reflected in all documentationIdentify opportunities to enhance the guest experience through thoughtful upselling and added value servicesPromote catering enhancements, room upgrades, wellness experiences, and unique resort offeringsBalance guest satisfaction with revenue optimization and profitability goalsPartner with Finance to ensure accurate invoicing and timely resolution of billing inquiriesCollaboration & LeadershipAct as the central liaison between clients and all hotel departmentsFoster strong partnerships with Banquets, Culinary, Front Office, Housekeeping, Engineering, Sales, and Leadership teamsCommunicate event details clearly and effectively to ensure flawless executionSupport a culture of collaboration, accountability, and service excellenceContribute to continuous improvement initiatives that elevate the guest and colleague experienceQualificationsWhat You Bring3+ years of experience in Conference Services, Catering Sales, Event Management, or a related hospitality leadership roleProven ability to manage multiple events and priorities simultaneously while maintaining exceptional attention to detailStrong client relationship management skills with a passion for delivering memorable experiencesExcellent verbal and written communication skills with the ability to influence and build trustExperience preparing event documentation including BEOs, resumes, and event timelinesStrong organizational, problem-solving, and decision-making abilitiesAbility to remain calm, professional, and adaptable in fast-paced environmentsProficiency in Microsoft Office and hospitality sales/event management systemsPassion for luxury hospitality and creating meaningful guest experiencesBonus If You BringExperience within a luxury hotel, resort, or destination propertyPrevious experience managing weddings, incentive travel programs, or large-scale conferencesKnowledge of Opera Cloud, Delphi, or similar hospitality systemsUnderstanding of the Banff and Canadian Rockies group and events marketExperience within a pre-opening, repositioning, or luxury brand environmentWho You AreYou are a natural relationship builder who thrives on creating meaningful connections. Deliver experiences. Stay moved. Physical DemandsThe role of Conference Services Manager is highly interactive and guest-facing, requiring regular movement throughout the resort and event spaces.
