We are seeking a part-time Business Operations & Admin Integrator (20 hours per week) to manage and streamline the Agency’s operations, support team members, and oversee administrative and operational tasks to ensure an efficient and organized workflow. This is not a traditional role; it sits at the intersection of administration, operations and AI, and requires someone who can fluidly move between all three.

While part of the role is to identify gaps in agency operations and processes, and come back with a plan, your responsibilities may include:

Administrative tasks

Agency event coordination, organizing birthday and anniversary gifts, Client gifts, offsites, etc.

Booking travel

Management of agency subscriptions, software renewals and other relevant dates, liaising with CEO and Finance Client support Proofread documents, reports, proposals, etc., checking for spelling (considering if it’s U.S. or Canadian spelling), grammar, sensibility, etc.

CEO support

Working directly with the CEO, act as the primary integrator of the CEO’s directives Support and manage the CEO’s calendar, emails, etc., as needed AI ownership & automation Lead the identification, implementation and management of AI tools and automation flows across the agency, including lead generation, new business research and content workflows Lead in development of AI automation flows, ie. lead generation, new business research, etc., identifying needs and executing Manage podcast flow; this may include identifying credible sources, sending emails, booking interviews, developing and overseeing AI automation, etc.

Support for adhoc personal admin tasks which may include

Obtaining quotes for various things, ie. electrical, insurance, etc.

Personal travel arrangements

Other tasks as needed

Skills

Solution-oriented with minimum 3 years admin or project management experience - mandatory Must be able to think independently and problem solve Proficiency in managing AI tools to streamline processes and improve efficiency - mandatory Marketing and / or agency experience is highly preferred Thorough understanding of diverse business processes with the goal of achieving efficiencies Must be well-organized and have a strong ability to multi-task - mandatory Strong written and verbal communication skills Proactive and creative approach to working Experience with a variety of online platforms and tools including Google suite (mandatory); following are strongly preferred: Slack, Docusign, LinkedIn Sales Navigator, Calendly, and Loom

This is a position that requires a strong independent talent who thrives working remotely outside of an office environment, while still building and maintaining relationships. The role is currently 20 hours / week, Monday to Friday EST working hours. There is an opportunity to grow to a full-time position, for the right candidate.
