The Catering Systems Administrator supports the Catering Scheduling and Catering IT teams in the coordination and optimization of global catering systems across Air Canada, Air Canada Rouge, and Air Canada Express operations. This role plays a critical part in ensuring data integrity, system alignment, and operational efficiency by maintaining accurate system configurations and enabling effective data flow across multiple platforms. The incumbent acts as a key liaison between Scheduling, Product, Catering Operations, and IT teams, while also contributing to reporting, system improvements, and cross-functional initiatives. The ideal candidate is highly analytical and detail-oriented, with a strong ability to manage large data sets, troubleshoot system-related issues, and adapt quickly within a fast-paced operational environment. Responsibilities: Catering Systems & Data Management Support the maintenance and integrity of data within the Meal Ordering Optimizer and associated catering systems. Ensure data accuracy and consistency by coordinating updates across stakeholders and functional teams. Facilitate resolution of urgent scheduling issues requiring flight regeneration, ensuring alignment with established procedures. Collaborate with Scheduling, Product, and Catering Operations teams to establish and maintain best practices for system data management. Analyze new aircraft types, routes, and galley configurations to ensure appropriate system setup, coding, and specifications. Reporting & Data Analytics Ensure timely production and validation of key reports, including Total Catering Provisioning Reports (TP 6/10) and other system-generated outputs from using the CAE Inflight Management System at regular intervals. Generate reports supporting supply chain forecasting, meal ordering systems, and aircraft weight and balance for safety requirements. Support the development of scalable reporting solutions to enhance efficiency and accuracy. Identify opportunities to streamline administrative and reporting processes using machine learning, automation prompts, macros to increase accuracy and scalability. Operational Support & Project Coordination Support Business Continuity Planning by monitoring and communicating schedule changes impacting catering operations. Coordinate cross-functional initiatives and support the resolution of system and data discrepancies across multiple stakeholders. Participate in ad hoc projects to improve operational performance and system functionality. Proactively identify opportunities for cost optimization, including catering efficiency initiatives and waste reduction. Supplier & Stakeholder Support Support onboarding and training of catering suppliers on the Meal Ordering Optimizer platform. Provide guidance to internal and external stakeholders on system processes and reporting outputs. Assist in resolving day-to-day operational issues raised by catering partners and internal teams. Contribute to maintaining strong working relationships with suppliers and cross-functional partners to ensure operational alignment.
Post-secondary education or certification in Operations Management, Supply Chain, Logistics, or a related discipline. 2-3 years of relevant experience in airline operations, logistics, or a related field. Strong analytical skills with the ability to interpret complex data sets and translate findings into actionable solutions. High attention to detail and accuracy in managing large volumes of data. Demonstrated ability to manage multiple priorities and deadlines in a fast-paced operational environment. Proficiency in Microsoft Excel; experience with automation tools considered an asset. Strong interpersonal and communication skills, with the ability to collaborate effectively across teams and stakeholders. Results-driven, proactive, and adaptable. Experience with airline or catering systems is an asset. Bilingualism (English and French) is an asset. Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
