Role Overview We're looking for a highly organized Operations Specialist to support our growing team. This role is responsible for managing HR operations, payroll, compliance, government funding programs, vendor relationships, and day-to-day business operations.
Key Responsibilities
HR & People Operations Manage the end-to-end employee lifecycle, including recruitment postings, onboarding, offboarding, and HR administration. Maintain employee records, contracts, onboarding checklists, personal data, and emergency contact information. Develop and maintain HR policies and ensure compliance with employment standards across multiple jurisdictions. Serve as the primary point of contact for employee HR inquiries and assist with dispute resolution.
Payroll, Benefits & Compliance Process payroll accurately and on schedule using ADP. Administer employee benefits and manage U.S. state tax registrations and compliance. Review timekeeping records and resolve payroll discrepancies prior to each payroll cycle. Ensure payroll continuity through appropriate backup processes.
Government Funding & Grant Coordination Coordinate applications and submissions for SR&ED, IRAP, SRF, FedDev, and other government funding programs. Manage relationships with external funding consultants. Maintain funding calendars, supporting documentation, labour allocation records, and timesheets required for R&D tax credits. Assist with technical narratives and supporting documentation for funding claims. Research and track new funding opportunities and application deadlines.
Compliance & Corporate Administration Maintain corporate compliance calendars, including annual returns, business registrations, HST/GST filings, and WSIB/WCB remittances. Coordinate insurance renewals. Ensure ongoing regulatory and employment standards compliance across all operating jurisdictions.
Administrative Support Support accounts payable and receivable, invoice processing, expense reimbursements, and coordination with the bookkeeper or accountant. Manage employee travel arrangements and reimbursement workflows. Provide operational and administrative support to leadership and cross-functional teams.
Strategic Partnership & Relationship Management Support the development and management of strategic partnerships and non-sales business opportunities. Coordinate partner communications, agreements, and follow-up activities. Maintain partnership pipelines and prepare status reports for leadership.
Vendor, IT & Office Operations Manage vendor relationships and negotiate operational service agreements. Coordinate employee device provisioning, software licensing, and subscription renewals. Manage IT security, user access, onboarding and offboarding access, and periodic security audits.
Qualifications 3+ years of experience in operations, HR, business administration, or a similar role. Experience with ADP payroll or equivalent payroll software. Strong organizational, communication, and problem-solving skills. Experience with government funding programs (SR&ED, IRAP, FedDev, etc.) is considered an asset. Ability to manage multiple priorities while maintaining exceptional attention to detail.
