We're looking for a highly organized, relationship-focused Events Coordinator & Partnerships professional who can manage projects from concept to completion while helping us grow sponsorships, partnerships, and community engagement. Position Overview The Events Coordinator & Partnerships role is responsible for managing the complete event lifecycle—from planning and logistics to execution and post-event reporting—while developing strategic relationships with sponsors, venues, municipalities, BIAs, shopping centres, community organizations, and local businesses. This position requires someone who thrives in a fast-paced environment, enjoys building relationships, and can confidently manage multiple projects simultaneously. Key Responsibilities Event Planning & Coordination Plan and coordinate vendor markets, festivals, networking events, corporate activations, and community events. Create detailed project timelines and production schedules. Coordinate vendors, exhibitors, sponsors, entertainment, rentals, permits, staffing, and logistics. Conduct site visits and venue walkthroughs. Develop event floor plans and operational schedules. Manage event budgets and track expenses. Coordinate load-in and load-out schedules. Prepare contingency plans and risk management documentation. Source suppliers, rentals, and event equipment. Ensure all permits, insurance, and compliance requirements are completed. Coordinate volunteers and event staff. Attend and oversee event setup, execution, and teardown/clean up. Partnership Development Research and identify sponsorship opportunities. Build relationships with local businesses, shopping centres, BIAs, municipalities, tourism organizations, and corporate partners. Prospect new sponsorship and partnership opportunities. Prepare sponsorship proposals and presentations. Negotiate partnership agreements. Manage sponsor deliverables before, during, and after events. Maintain ongoing relationships with partners throughout the year. Track sponsorship revenue and partnership performance. Vendor Management Recruit new vendors for events. Review vendor applications. Communicate event information, policies, and timelines. Coordinate vendor onboarding. Manage vendor inquiries and support. Resolve issues professionally before and during events. Conduct post-event follow-ups. Operations Maintain event checklists and project management systems. Coordinate equipment inventory. Schedule meetings with vendors and partners. Track contracts and important deadlines. Assist with budgeting and reporting. Maintain organized digital records. Marketing Support Coordinate partner marketing initiatives. Assist with social media promotion for events. Work with the marketing team on promotional materials. Gather event content, testimonials, and photos. Coordinate sponsor recognition across marketing channels. Assist with email marketing campaigns. Post-Event Responsibilities Prepare event recap reports. Collect vendor and sponsor feedback. Analyze attendance and event performance. Track sponsorship ROI. Recommend improvements for future events. Maintain accurate CRM records. Qualifications Required 2–4 years of experience in event planning, project coordination, partnerships, marketing, or a related field. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Experience managing multiple deadlines. Comfortable working independently and within a team. Strong attention to detail. Professional customer service skills. Valid driver's licence and access to reliable transportation. Ability to lift up to 30 lbs and assist with event setup when required. Willingness to work evenings and weekends during event season.
