Join the Levata Canada People Team as a People Experience Coordinator. This is an onsite role for our offices at: 25 Royal Crest Ct #100, Markham, ON L3R 9X4, Canada What you’ll do: HR Administration Provide support in the implementation and administration of HR policies, procedures, and practices. Respond to internal and external HR-related inquiries in a timely and professional manner. Serve as the first point of contact for Level I employee inquiries through the HR inbox and escalate Level II concerns to the appropriate People Business Partner or subject matter expert. Maintain accurate and up-to-date personnel files and employee records. Monitor weekly timecard completion and follow up with team members as needed. Support benefits administration, including enrollment and employee inquiries. Assist with basic employee change letters and year-end HR processes. Support the People Business Partner with employee relations matters as required. Execute the offboarding process, including coordinating exit interviews, asset returns, workspace cleanups, and system deactivations. Support the Joint Health and Safety Committee by coordinating updates, documentation, and related activities. Assist with HR projects and initiatives as needed. Talent Acquisition & Onboarding Work closely with the People Team and hiring managers to support a smooth and efficient recruitment process. Coordinate the onboarding experience for new hires and contractors, including offer letter preparation, background check initiation, new hire kit distribution, and manager support. Coordinate and support weekly orientation sessions for new hires. Assist with ensuring new employees have the resources and information required for a successful start. Employee Experience & Social Committee Support the planning, scheduling, and execution of in-office employee engagement activities, including monthly events, recognition initiatives, and the annual holiday party. Participate in the Levata Social Committee and assist with planning and coordinating employee events and activities throughout the year. Support employee engagement initiatives that contribute to a positive and inclusive workplace experience. Assist with special events, celebrations, and team activities as required. Office Operations & Vendor Management Provide onsite support for large in-office meetings and events hosted by executives. Serve as a main point of contact for visitors, external team members, and vendors while ensuring visitor protocols are followed. Maintain office supplies, restock kitchen supplies, and coordinate office-related maintenance. Manage employee security access, including the creation and deactivation of employee badges. Support office operations and administrative needs as required. Assist with the planning, coordination, and execution of office moves, including coordinating logistics, employee communications, workspace setup, and related activities. Required Characteristics A "get stuff done" attitude with a strong desire to enhance the team member experience and improve process efficiency. Excellent verbal and written communication skills with the ability to effectively interact with team members at all levels of the organization. Strong organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain accurate employee records. The highest level of discretion when handling confidential and sensitive employee information. Strong relationship-building skills at all levels of the organization. Flexible and adaptable to changing business needs, processes, and practices. Resourceful, solution-oriented, and comfortable taking ownership of tasks. Strong attention to detail and follow-up skills. Proficiency with Microsoft Office applications. French language proficiency is considered an asset. Education/Experience 1+ year of experience in Human Resources, office administration, or a related field is preferred. Post-secondary education in Human Resources, Business Administration, or a related field is preferred. Experience with HRIS systems and employee databases is an asset. Experience supporting recruitment, onboarding, employee engagement, or office operations is an asset.
