The Role The Senior Specialist, Real Estate Transactions will provide in-house support and manage team coordination, deal documentation, data analysis, various administrative duties, and select transactions across portfolio and space initiatives, in support of the real estate team. Reporting to the Sr. Manager, Real Estate Transactions, you will be an integral part of the transaction management team, in partnership with a multidisciplinary, collaborative team – analytics, project management and design partners. Key responsibilities: Prepare Governance decks and record and monitor key action items and direction received at monthly Governance meetings Perform financial analysis of prospective lease transactions and calculate termination penalties. Draft RFP documents, letters of intent or binding offers to lease and term sheets. Prepare weekly LOB leasing agendas and meeting minutes and archive transcripts. Draft summary deal memorandums for internal transaction review and approval. Circulate documents for executive signature and upload documentation to SharePoint. Populate IG’s contract approval document, value-add, and lease summary sheet Respond to information requests from brokers and internal key stakeholders with respect to leasing initiatives. Perform monthly portfolio system updates. Coordination and participation in the site tour process including scheduling with required key stakeholders, communication with third-party brokers, distribution of tour packages, recording and saving of tour videos, securing tour photos and circulating of next-step emails. Coordinate and book travel. Secure and update tenant and landlord contact forms. Process invoices and expense reports. Update key internal trackers. Review, prepare and verify lease summaries. Prepare and circulate time sensitive correspondence (e.g. termination, overhold and option exercise letters). Develop strong working relationships with 3rd party brokers and key landlords. Complete Governance tracking: monitor, record, and summarize KPI outcomes and trends. Ensure adherence to SOPs and best practices; champion a culture of accuracy, accountability, and continuous improvement. Track and coordinate key activities and deliverables in support of the lease transaction process. The following qualifications will assist the successful candidate: Minimum 3-5 years’ experience in providing comprehensive and integrated occupier services and transaction management services. Exceptional organizational skills, with the ability to manage competing priorities and tight deadlines. Strong attention to detail, with a focus on accuracy in transaction documentation, financial analysis and data management. Self-directed and proactive, with the ability to work independently, exercise sound judgment and anticipate team needs. Highly proficient in Microsoft Excel, PowerPoint and Word. Excellent communication skills and ability to produce executive-level reporting and work effectively with internal stakeholders, external brokers and landlords. Bachelor’s degree in Real Estate, Business, Accounting, Finance, or related field; relevant professional designations considered an asset. Additional Information: Minimal travel will be required Hybrid work environment – 3 days a week in office, 2 days a week working remotely The expected annual base salary range (prorated for the term) for this role is $60,000 - $70,000 which is determined based on geographic location and candidate’s skills, knowledge and experience.
