Role Description The Executive Administrative Assistant role is a hybrid position based in Montréal, QC, with a mix of in-office and work-from-home arrangements. This role provides comprehensive administrative support to senior leadership, including managing calendars, scheduling meetings, organizing travel, and preparing agendas and meeting materials. The Executive Administrative Assistant will handle correspondence, screen and direct phone calls, maintain contact lists, and support the preparation of presentations, reports, and internal communications. Day-to-day responsibilities also include organizing files and records, assisting with document formatting, coordinating small events or team meetings, and ensuring smooth office operations. The role requires discretion, attention to detail, proactive problem-solving, and the ability to prioritize tasks in a fast-paced, science-focused environment. Qualifications Strong Administrative Assistance and Clerical Skills to manage scheduling, documentation, filing systems, and office coordination. Demonstrated Executive Administrative Assistance experience supporting senior leaders with calendars, meetings, travel logistics, and confidential information. Excellent Communication and Phone Etiquette skills for professional interaction with internal team members, partners, and external stakeholders. Proficiency with office productivity tools (e.g., email, calendar software, word processing, spreadsheets, presentation tools) and comfort learning new systems. High level of organization, attention to detail, and ability to manage multiple priorities and deadlines independently. Strong judgment and discretion in handling sensitive information and executive-level matters. Fluency in English; French language skills are an asset given the Montréal location. Previous experience in a science, healthcare, or startup environment is an advantage, as is familiarity with hybrid work settings.
