Patient Care Coordinator - Advanced Imaging The Opportunity MIC is looking for a Patient Care Coordinator to join its advanced booking department out of our Century Park location. An Advanced Imaging Patient Care Coordinator is responsible for coordinating and scheduling examinations across MRI/CT/PETCT. They ensure bookings are completed efficiently, accurately and in accordance with the clinical protocols,templates and contractual obligations. Working collaboratively with patients, referring doctors, radiologists, technologists and administrative teams, they coordinate protocol review and support exam readiness to ensure exceptional patient experience. Status: Permanent full-time Location: MIC Century Park - # 201-2377 111 ST NW, Edmonton, AB T6J 5E5 Hours: 6:45am – 5:00pm, possible evening and weekends. Role and Responsibilities Appointment Requests: Receive and process imaging referrals from multiple sources including contract partners and private-pay imaging. Reviewing referrals for completeness and obtain addition info when required. Patient Communication: Provide detailed exam-specific information, prep instructions, screening requirements and appointment expectations. Support patients through the complex booking process with professionalism and empathy. Interdisciplinary Communication: Communicate effectively with referring offices, radiologists, technologists, and internal teams to support accurate scheduling and continuity of care. Collaborate with operational and clinical teams to resolve booking issues and support efficient workflow. Scheduling: Scheduling CT/MRI/PETCT examinations for private pay patients and contract partners according to established protocols and clinical requirements. Phone Calls: Receive calls from patients, physician offices, and referral sources. Contact patients to book and confirm appointments once exams have been protocoled. Email: Process requests received through electronic communication channels, ensuring timely follow up and resolution. Record keeping: Accurately enter patient information and appointment details into booking systems including updates, changes and cancellations. Organize, track and prioritize incoming requisitions to ensure timely review and protocoling by radiologists and technologists. Billing and Contract Services: Ensure contract-specific requirements, pricing structures and billing processes are followed accurately. Quote and process payments and maintain accurate billing documentation. Health Records: Process image and records of requests, including the import and export of diagnostic imaging studies in accordance with privacy and organizational requirements. Compliance & Confidentiality: Adhere to policies regarding patient confidentiality and data protection. Other duties as required. Required Qualifications One to two years of experience as a call centre/booking agent or medical receptionist, preferably within a diagnostic imaging environment. Medical Office Assistant certification is considered an asset. Excellent verbal and written communication skills, with the ability to communicate clearly, professionally, and effectively with patients, physician offices, referral sources, and internal teams. Demonstrated patient-centred customer service approach, with the ability to exercise patience, empathy, respect, discretion, and professionalism in all interactions. Proficiency with computers, electronic booking systems, and general office software, with the ability to learn and adapt to new technology and scheduling platforms. Strong attention to detail and organizational skills, with the ability to accurately enter and maintain appointment and patient information while managing competing priorities. Ability to work effectively as part of a team and collaborate with clinical, operational, and administrative staff to support efficient workflow and continuity of care. Knowledge of medical terminology, particularly radiology and diagnostic imaging terminology such as CT, MRI, ultrasound, X-ray, and related examinations, is considered an asset. Demonstrated understanding of, and commitment to, patient confidentiality, privacy, data protection standards, and applicable healthcare regulations.
