ADMINISTRATIVE SUPPORT SPECIALIST (OFFICE AGENT CLASS I) OPPORTUNITY As an Administrative Support Specialist (Office Agent Cl l), you will support the Director of Human Resources and serve as a welcoming point of contact for employees, schools, centres and external partners. You will balance day-to-day requests with accurate, confidential administrative work that helps the department deliver timely service. DAILY TASKS Welcome visitors and respond to calls and messages; answer routine questions, direct complex matters to the right person and coordinate the Director’s calendar. Draft, format and proofread correspondence, reports, agendas and confidential materials; gather information and prepare meeting documents. Maintain organized electronic and paper records, spreadsheets and HR information; check documents for completeness and follow up when details are missing. Coordinate committee meetings and HR activities, including scheduling, materials, minutes and follow-up. Support HR processes such as employee files, appointments and leaves, judicial record documentation, grievance tracking and departmental forms. Help organize employee recognition events, workshops and other activities, and process related invoices, expenses and supplies. WHY DOES THIS ROLE MATTER? Your Qualifications You hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority. What You Bring Confidence with office software, records, spreadsheets and written correspondence; strong organization, accuracy and follow-through. A calm, professional approach to competing requests and sensitive information, with clear communication and sound judgment. Ability to work in English and French, including preparing English-to-French correspondence, is valuable for the duties described.
