Administrative Assistant – People & Culture (Secretary to the Director) Permanent Full Time Competition No. C1101-26 SDIR (I/E) This position is accountable for providing advanced administrative and secretarial support to the People & Culture department. Duties include: * Provides confidential, administrative support to the Director of People & Culture, Manager, Health, Safety and Employee Wellness, and other members of the People & Culture team in the planning, operation and maintenance of the department; * Supports labour relations function by coordinating Labour Management Committee maintaining corporate seniority lists and preparing and proofreading confidential correspondence, reports, policies and procedures, etc.; * Supports the administration of Employee Health, Safety, and Wellness programs by coordinating activities of Corporate OHS committee and events such as annual wellness clinics, ensures OHS and Return to Work (RTW) policies are reviewed, signed, and distributed annually, maintains EFAP, OHS and audit databases, tracks Store OHS Minutes and Audit reports for PRIME compliance, updates listing of OHS Committees and training, and updates OHS legislated training; * Supports Corporate Training initiatives by arranging and coordinating, issuing training certification cards, ensuring training records are up to date and running reports as necessary; * Completes office management responsibilities including maintaining departmental leave requests, obtaining supplies and services using electronic purchasing system, ensuring files are organized and maintained as per the corporate records classification system, receiving/directing visitors, and opening, reviewing and routing incoming mail; * Other related duties. The successful candidate must possess the following qualifications: * High School Graduation; * Graduation from a two-year diploma program in Office Administration from a recognized college including course work in human resources; * A minimum of three (3) years experience as administrative support within a highly comprehensive Human Resources environment; * Thorough knowledge of the full suite of Microsoft Office applications. Advanced proficiency in Excel an asset; * Experience with electronic Time and Attendance, Purchasing Systems, and HRIS are assets. Requirements
