​COMPETITION NUMBER: 1788CLOSING DATE: AUGUST 23, 2026 @ 11:59PM MDT GRANTS & ACADEMIC INITIATIVES Reporting to the Director, Grants & Academic Initiatives, the Continuing Education Coordinator supports the efficient delivery and ongoing growth of Continuing Education programming. The role provides operational and administrative oversight related to student and customer inquiries, planning and reporting, instructor onboarding, scheduling, purchasing, and documentation. This position contributes to achieving divisional and institutional goals by overseeing and developing custom training contracts. They would work with external partners to identify training needs and then tailor training opportunities to match the needs. They would support both internal and external learners, ensuring high-quality customer service and operational effectiveness. HOW YOU’LL MAKE A DIFFERENCE Oversee and action operational administration for the delivery of Continuing Education programming. Coordinate administrative processes including instructor hire, onboarding, scheduling support, and systems or facility access for staff and contractors. Serve as the first point of contact for potential clients, student support, and customer inquiries, providing triage and escalation as required. Work with Business Development Officers to secure new clients and support the development of custom training opportunities. Oversee Continuing Education administrative staff and support the coordination of training activities, meetings, events, and operational logistics. Monitor and manage shared inbox inquiries, incoming calls, workflow, and operational requests related to IT, facilities, and administrative services. Support procurement activities, expense reconciliation, travel arrangements, accommodations, and other administrative functions. Edit, format, and produce reports, briefing notes, meeting documentation, surveys, invoices, and other operational documents while maintaining document management practices. Maintain tracking spreadsheets, databases, website content, and reporting data related to Continuing Education deliveries, partnerships, and contracts. Identify opportunities to improve processes and enhance operational efficiency through automation, AI, and continuous improvement initiatives that support service delivery and customer experience. WHAT YOU BRING Diploma in Office Administration or an equivalent combination of education and experience. Minimum 3 years of experience in an administrative or related role. Experience in a post-secondary environment is considered an asset. Excellent data entry and analysis skills with strong attention to detail. Strong analytical and problem-solving skills, with the ability to work with minimal supervision in a high-volume, fast-paced environment. Exceptional customer service, communication, and professionalism when working with internal and external stakeholders. Strong technical skills, including the ability to adopt new software, incorporate AI, automate administrative processes, and utilize Microsoft Office applications including SharePoint, Outlook, and MS Teams. Executing project deliverables including staff hire, scheduling, course delivery, outcome tracking, and reporting. Improving and automating systems, making recommendations to enhance processes, workflows, and operational effectiveness. Prioritizing competing operational requests, administrative tasks, multiple timelines, and complex stakeholder needs. Providing coordination, guidance, and operational leadership to Continuing Education administrative staff and supporting staff and contractor onboarding. Building productive relationships with internal departments, external clients, students, stakeholders, and Business Development teams to support program delivery and customer service excellence. Working independently to manage ongoing responsibilities, anticipate needs, identify inefficiencies, and implement solutions. Exercising judgment and professionalism when handling sensitive issues, maintaining confidentiality, and escalating concerns as required. SALARY: AUPE Band Level 8 | Advisor II | $67,351 - $87,454 annually reflective upon what you bring AKA your education and experience.
